Your impact
- Support in developing the document control and management system for projects and programs executed by Jacobs Philippines and other Jacobs offices for maintenance and distribution of project documents
- Consistently deliver projects to the satisfaction of both the client and Jacobs
- Works with the Project Managers and Project Controls Managers in establishing work processes, procedures and implement an electronic data management system to facilitate project communications.
Here's what you'll need
- Understand the client requirements on project documentation and communication.
- Intermediate experience in Document Management Systems such as ProjectWise, Autodesk Construction Cloud (ACC), TeamBinder, Procore, and Aconex.
- Provide support in the development and implementation of document control system, plan and procedures.
- Organize and maintain the project filing in accordance with the project requirements and or applicable Jacobs standard practice for Project Folder Structure.
- Maintains electronic files for all project documents. Files and stores hard copies of documents in accordance with Program policies and procedures.
- Establish or maintain a document register to track and record deliverable status and document reviews.
- Set up a project document distribution matrix per directions from the Project Manager or Design Manager, distributes design submittals for reviews.
- May provide support in the assembly and distribution of tender documents, clarifications, and addenda.
- Tracks required responses to designer and contractor submittals, shop drawings, and requests for information. Advises project managers with responses are overdue.
- Generates and issue document status, look-ahead reports as required by the project.
- Conducts periodic audits of project files to monitor compliance with project requirements.
- Completes check list reviews of project and contract close out documentation.
- If necessary, support projects with reproduction, courier services.
- Participate in lessons-learnt and knowledge-sharing sessions to collate best practices and improvement opportunities for document management systems and procedures.
