Job Role: Junior Rig-Specific HSE Documentation Officer
Section: HSE Systems Support Team
Reports To: HSE Systems Support Product Lead
General Description
The Junior Rig-Specific HSE Documentation Officer is responsible for assisting in the management and control of Noble's Document Management System (DMS) for P2R rig-specific documentation. This role involves supporting document control tasks, ensuring compliance with standard operating procedures (SOPs), and maintaining the quality and integrity of documentation used by offshore drilling rigs. The position provides exposure to document management systems and processes while contributing to the safe and efficient operations of the company.
Responsibilities:
Base Business/Core Process:
• Assist in performing document control tasks to maintain accurate and up-to-date content in the
document management system (e.g., P2R, Pro-Arc, Connect, etc.).
• Review and validate document revision and registration requests through system investigation,
ensuring SOP-compliant workflow processes.
• Handle delegated Contact Us tickets related to P2R Rig Specific documents.
• Communicate with stakeholders, requesters and document owners to clarify instructions and
validate information for accuracy and compliance.
• Monitor and follow up on pending P2R Rig Specific Contact Us tickets to ensure timely
progression.
• Draft revision requests for documents such as reference materials, process flows and
organizational chart ensuring a clear audit trail for P2R Rig Specific documents based on
requested changes.
• Proofread and edit documents to correct errors, inconsistencies, and formatting issues.
• Implement approved content updates (English, translated and stamped version of the
documents) in the document management system while ensuring compliance with document
control standards.
• Maintain native files of P2R Rig Specific documents in an organized manner, ensuring easy
retrieval and reference.
• Ensure minimal quality issues and concerns on implemented P2R Rig Specific documents.
• Assist in audits and reviews of implemented tickets by the team in P2R Rig Specific documents.
• Support the translation process by coordinating translations of documents from third-party
translation vendors and providing them to Documentation Officers when received.
• Provide support in resolving basic to complex concerns related to document management for
both offshore and onshore users.
• Collaborate with teams to support risk assessments, investigations, and root cause analysis
related to document control issues.
• Manage assigned deliverables efficiently and meet deadlines with supervision.
• Execute any other tasks, projects, or ad-hoc duties related to P2R Rig Specific documents as
assigned.
Job Description
Support/Enabling Process:
• Perform tasks related to quality assurance, application support, class approval, translation
requests, and reporting based on stakeholder agreements.
• Manage and respond to email queries received through personal or team mailboxes in a
professional and timely manner.
• Support in maintaining all emails received in the HSE Team group mailbox and ensuring that
important emails received in the HSE Team group mailbox are answered or forwarded to
someone in the team who can address them.
• Handle document retrieval requests from both onshore and offshore stakeholders.
• Ensure all Connect tickets are handled as per team-agreed SLA.
• Process requests received via Connect for native files in P2R Rig Specific documents.
• Process all requests received via Connect on updating Document Owners in P2R Rig Specific
Documents.
• Contribute to projects involving risk assessments, planning, execution, and participation in
lessons learned.
• Identify opportunities for process improvement and suggest initiatives to enhance the document
management process.
• Assist with training sessions and knowledge-sharing initiatives.
• Support the implementation of new IT applications related to document management and assist
with system upgrades.
• Participate in internal meetings and perform other tasks within the scope of responsibilities as
required.
Qualifications:
• Bachelor's degree in any field.
• Basic proficiency in MS Office and document management applications.
• Understanding of document control processes and business process management applications
(e.g., ProArc, ServiceNow, SharePoint-based platforms like P2R).
• Strong attention to detail with a willingness to learn.
• Analytical thinking and problem-solving skills.
• Effective communication skills and customer-oriented mindset.
• Ability to follow structured processes with supervision.
• Familiarity with project management methodologies (fundamental or agile) is an advantage
