The Document Control Coordinator is responsible for administering and maintaining all controlled Facility Maintenance (FM) documentation in accordance with V2X policies, customer requirements, contractual obligations, and applicable quality management procedures. Working under the direction of the Facility Maintenance Manager, the position ensures controlled documents, technical publications, work instructions, maintenance records, reports, and correspondence are properly reviewed, approved, distributed, tracked, archived, and maintained throughout their lifecycle. The position supports FM operations by ensuring document integrity, audit readiness, and compliance with V2X processes
Responsibilities

- Maintain controlled FM documents including PWS, TDPs, WIs, SOPs, LOTDs, technical manuals, engineering drawings, forms, PM procedures, and quality records.
- Maintain document control registers, revision history, approvals, distribution, retention, and archival of controlled records.
- Support the Facility Maintenance Manager by preparing weekly/monthly reports, dashboards, KPI reports, transition documentation, risk registers, and executive summaries.
- Maintain Maximo document attachments and ensure supporting documentation is uploaded and traceable for PMs, DMOs, projects, and special work.
- Administer FM SharePoint document libraries, folder structures, permissions, and version control.
- Support audits, ICAR/CAR/OFI responses, customer inspections, and ensure document compliance with V2X procedures and contractual requirements.
Qualifications
- Minimum Qualifications:
- One-year related experience may be substituted for one year of education, if degree is required.
- High School Diploma or Equivalent is required
- Associates degree preferred
- Philippines Driver's License is required
- Must be a Filipino Citizen
- Experience:
- Minimum 3 years experience in an office environment.
- Advanced knowledge of Maximo and Microsoft Office 2013/2016 Suite
- Skills:
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
- Attention to detail and problem-solving skills.
- Ability to work independently and as part of a team.
- Prior experience in office administration or related field preferred
- Must be efficient using office equipment.
- Working Conditions:
- Must be capable of working in extreme weather conditions with temperatures exceeding 100 degrees Fahrenheit with high humidity
- Adjustable to changing weather and environmental conditions.
- Physical Requirements:
- Must be able to lift/push/pull 25 lbs.; Work will require walking up and down stairs, prolonged standing, prolonged sitting. Employee use of personal protective equipment (PPE) is required for some situations. PPE includes, but is not limited to, head, foot, torso, respiratory, vision, and hearing protective devices. Must comply with all Fire and Safety Regulations and post policies.
