Job Description
We are seeking a highly organized and customer-focused Dispatcher / Scheduler to coordinate non-emergency medical transportation (NEMT) services for patients traveling to and from medical appointments and healthcare facilities.
This role is responsible for scheduling patient trips, coordinating drivers and vehicles, monitoring active routes, communicating with riders and facilities, and resolving service issues in real time. The ideal candidate is calm under pressure, detail-oriented, resourceful, and able to make quick decisions while maintaining a positive and compassionate experience for every rider.

This role is responsible for scheduling patient trips, coordinating drivers and vehicles, monitoring active routes, communicating with riders and facilities, and resolving service issues in real time. Key Responsibilities
- Receive and schedule patient transportation requests while accurately confirming pickup and drop-off addresses, appointment times, rider and facility contacts, mobility requirements, assistance needs, and approved companions.
- Assign qualified drivers and appropriate vehicles based on location, availability, vehicle capacity, accessibility requirements, and service commitments.
- Develop efficient daily routes and schedules while maximizing driver and vehicle utilization.
- Monitor active trips in real time and make adjustments for traffic, delays, cancellations, no-shows, vehicle issues, and last-minute schedule changes.
- Proactively communicate ETAs, delays, trip changes, and service updates to riders, drivers, healthcare facilities, and internal teams.
- Provide professional, patient, and respectful assistance to riders, including elderly, disabled, medically vulnerable, or distressed individuals.
- Respond quickly to operational issues and coordinate appropriate solutions to minimize service disruptions.
- Maintain accurate and timely documentation of trip status, communications, incidents, complaints, exceptions, authorizations, and other required information.
- Escalate safety concerns, medical emergencies, service failures, and compliance issues according to established company procedures.
- Follow proper escalation protocols; this position does not provide medical advice or emergency medical dispatch services.
- Conduct clear and thorough shift handoffs to ensure continuity of service and outstanding issues are properly communicated.
- Maintain compliance with company policies, client requirements, privacy standards, safety procedures, and applicable NEMT regulations and requirements.
- Perform other transportation coordination and dispatch duties as assigned.
- High school diploma or equivalent.
- At least 5 years of experience in dispatching, transportation, logistics, fleet operations, shipping, scheduling, or a related field.
- Strong organizational skills with the ability to manage multiple trips, requests, and priorities simultaneously.
- Excellent verbal and written communication skills with a strong customer-service mindset.
- Ability to remain calm, professional, and solution-oriented in a fast-paced, high-pressure environment.
- Strong judgment, problem-solving, de-escalation, and decision-making skills.
- High attention to detail and accuracy when handling schedules, addresses, rider information, and trip documentation.
- Comfortable using dispatch platforms, GPS/mapping tools, phone systems, email, messaging applications, Microsoft Office, or Google Workspace.
- Ability to handle confidential and sensitive information appropriately.
- Reliable attendance and flexibility to work assigned evenings, weekends, or holidays as required.
- Healthcare, NEMT, paratransit, medical scheduling, transportation brokerage, broker-portal, or healthcare transportation experience is preferred but not required.
- Bilingual English/Spanish proficiency is a plus, depending on customer and operational needs.
