Location: Philippines (Remote)

Schedule: Monday-Friday, 9am to 5pm EST

They offer a virtual hybrid class, which combines their traditional Catholic school with an online platform, teaching both on-campus and off-campus students simultaneously.

About The Role

The Director of Academic Operations serves as the academic backbone of the institution, overseeing critical academic processes, including accreditation, catalog management, curriculum documentation, Canvas course construction, syllabi oversight, and student records. Reporting directly to the President, this role ensures academic compliance, organization, and readiness for accreditation reviews. The position is currently a standalone role, supported by a small team including the President and select faculty, with potential to manage subject-matter committees as the institution scales.

The ideal candidate has a strong background in higher education academic administration, especially involving quality assurance and accreditation processes.

Responsibilities

  • Accreditation & Quality Assurance
  • Serve as the operational lead for preparing WASC and Florida CIE accreditation materials.
  • Organize and maintain accreditation evidence, reports, documentation, and compliance files.
  • Prepare data summaries, narrative drafts, and alignment tables based on standards provided.
  • Maintain accreditation calendars, timelines, task lists, and required submissions.
  • Ensure academic policies, curriculum documents, and catalog content align with standards.
  • Academic Catalog & Curriculum Documentation
  • Manage, update, and publish the annual College Catalog.
  • Maintain accurate, organized records of:
    • Program Learning Outcomes (PLOs)
    • Course Learning Outcomes (CLOs)
    • Curriculum maps
    • Program descriptions and academic policies
  • Support development of new academic programs and track revisions.
  • Canvas Course Administration & Syllabi Management
  • Build and maintain courses in Canvas, including:
    • Modules
    • Assignments
    • Rubrics
  • Learning outcome alignment
  • Standardize and maintain master syllabi for all courses.
  • Coordinate with faculty to ensure syllabi and courses meet academic standards.
  • Student Records, Registrar Support & SIS Management
  • Maintain student academic files, transcripts, and degree progress records.
  • Prepare official transcripts and enrollment verifications.
  • Maintain data accuracy in the student information system (SIS).
  • Track practicum/field experience records
  • Data, Reporting & Institutional Effectiveness
  • Assist with collection and organization of student learning assessment data.
  • Prepare reports, dashboards, and academic documentation for internal evaluation.
  • Maintain longitudinal data related to academic performance and outcomes.
Competencies And Qualifications

Must-Have

  • Master's degree in Education, Educational Management, Curriculum & Instruction, Higher Education Administration, or similar field.
  • Experience working with academic accreditation processes
  • 5+ years experience in:
    • Academic administration
    • Curriculum
    • Registrar's office
    • Higher-education operations
  • Excellent English writing and documentation skills.
  • Strong organizational, project-management, and deadline-tracking abilities.
  • Experience with Canvas or other LMS platforms (or ability to learn quickly).
  • High-level proficiency in Google Workspace / MS Office.
Nice-to-Have

  • Experience supporting accreditation documentation or self-study reports.
  • Experience building academic programs or curriculum structures teacher education degree programs
  • Experience with LMS instructional design for higher education
  • Experience with SIS platforms.
