Location: Cebu, Philippines
Work Arrangement: Hybrid, Full-time
Shift: Monday - Friday | 7:00 AM - 4:00 PM PHT (Dayshift)
Salary Range: Php 51,000 - Php 71,000

As a Development Executive Assistant, you are the operational pivot point for major development projects. This role goes far beyond traditional administrative support; you will be deeply involved in project coordination, stakeholder engagement, and ERP management. Whether you are coordinating community events, managing consultant contracts, or tracking stakeholder interactions in specialized software, your work ensures that large-scale development projects remain organized, compliant, and on schedule.

Your Impact

  • Project & Consultant Support: Assist Development Project Managers with the critical task of consultant engagement. You will manage contract preparation documentation and coordinate complex logistics for contractor site visits.

  • Financial & ERP Coordination: Take charge of project-level financial administration by creating and managing purchase orders in the ERP system (IFS). You will also support expense processing and executive credit card management.

  • Stakeholder & Community Engagement: Act as a key coordinator for community events. This includes managing venue bookings, catering, and attendance, as well as coordinating the production of information materials for mailouts, newspaper advertising, and project website updates.

  • Data & Relationship Management: Maintain the integrity of stakeholder relations by uploading meeting records and interaction updates into Borealis. You will act as the first point of contact for website enquiries, directing them to the appropriate Project Managers.

  • Executive Operations: Provide high-level administrative support to the Executive team, including complex travel bookings and internal/external meeting arrangements. You will collaborate with a global team of EAs to ensure seamless coverage and support across the division.

What You Bring

  • The Experience: Proven experience as an Executive Assistant, Project Coordinator, or in Stakeholder Engagement. Preference is given to those who have supported infrastructure, construction, energy, or development environments.

  • Technical Mastery: Advanced proficiency in Microsoft Excel and Word. You have experience working with ERP systems (preferably IFS) and ideally have exposure to Borealis stakeholder management software.

  • Operational Excellence: Exceptional organizational and multitasking skills. You have a high attention to detail and a proactive approach to managing structured documentation and tight project deadlines.

  • Communication Prowess: Excellent written and verbal English skills are essential for liaising with internal teams, external partners, and the community.

  • Adaptability: A flexible work approach with strong time management capabilities, allowing you to pivot between administrative tasks and high-level project coordination.
