Job Description

We are partnering with a well-established organisation within the funds industry to hire a Deputy Head of Shared Services. This is a senior leadership role for someone with strong fund administration experience and a proven track record in managing large-scale operations.

Key Responsibilities

  • Provide strategic leadership across Fund Services operations, ensuring strong governance, service excellence, and compliance
  • Act as the senior escalation point for complex client and operational issues, driving timely and effective resolutions
  • Oversee end-to-end operations, including processes, systems, and SLAs, ensuring consistent service delivery standards
  • Develop and execute service strategies aligned with business objectives and client expectations
  • Build and manage senior client relationships, delivering tailored and value-driven solutions
  • Lead, coach, and develop managers to drive high-performing teams
  • Manage workforce planning, budgeting, and resource allocation to optimise efficiency and cost
  • Ensure adherence to regulatory requirements, internal policies, and industry standards
  • Establish and standardise SOPs, documentation, and operational frameworks across markets
  • Identify operational risks and implement mitigation strategies to enhance service quality
  • Collaborate with cross-functional teams (Sales, Product, Marketing) to ensure seamless execution
  • Monitor KPIs, drive accountability, and continuously improve operational performance
  • Lead system implementation and process optimisation initiatives
  • Oversee workforce planning, scheduling, and capacity management

What We're Looking For

  • 8–10 years of experience in fund administration, preferably within shared services or regional/multi-market environments
  • Strong understanding of SFC-authorised funds and Fund Manager Code of Conduct
  • Proven leadership experience managing large teams and multiple stakeholders
  • Strong problem-solving and decision-making skills in high-pressure environments
  • Excellent communication and stakeholder management capabilities across diverse cultures
  • Experience in audit, quality assurance, and training frameworks
  • Track record in driving operational transformation and process improvements
  • Strong analytical mindset with the ability to turn insights into action
