Our client is an award-winning, multi-location pediatric dental and orthodontic practice that has cared for families for nearly two decades. Their front office is the first voice every parent hears, and they are hiring a fully remote Dental Receptionist & Scheduler to own that experience end to end. You will manage appointment scheduling across multiple providers and locations, keep provider calendars full and accurate, and make every parent feel informed and reassured about their child's care.
This is a phone-forward, detail-heavy role for someone who stays warm under pressure, is precise with records, and is comfortable owning a busy queue independently in a remote setting. You will work inside the dental practice management system every day, juggling new-patient bookings, recalls, reschedules, same-day emergencies, and insurance details — while keeping the experience smooth for anxious or first-time families.
Responsibilities
- Schedule new-patient, routine checkup, orthodontic consult, follow-up, and emergency appointments across all providers and locations
- Handle a high volume of inbound calls, texts, emails, and online messages from parents and guardians
- Make outbound recall and reminder calls to keep provider schedules full and reduce no-shows
- Manage same-day and emergency appointment requests quickly and accurately
- Confirm, reschedule, and cancel appointments and keep records current in the dental practice management system (CareStack)
- Process new-patient registration — demographics, medical and dental history, and insurance details
- Coordinate referrals from a children's hospital and other referring providers
- Support teledentistry and virtual consultation scheduling
- Verify dental insurance eligibility and benefits using payer portals and phone verification, and explain co-pays, deductibles, and coverage clearly to parents
Requirements
- 1+ year of experience in a dental, medical, or healthcare front office or receptionist role
- Hands-on experience with a dental or medical practice management system (CareStack, Dentrix, Eaglesoft, Open Dental, or similar)
- A warm, calm, professional phone manner with families, including anxious or first-time patients
- Strong written and spoken English
- Excellent attention to detail while managing many appointments and records at once
- A reliable, self-directed work style suited to a fully remote, high-volume environment
- Reliable high-speed internet and a quiet, dedicated home workspace for patient calls
Nice to Have
- Dental insurance verification experience — eligibility checks, benefit breakdowns, and payer portal navigation
- Experience in a pediatric dental, orthodontic, or multi-specialty practice
- Familiarity with CareStack specifically
- Conversational or fluent Spanish
- Multi-location practice experience
