Our client is an Australian automotive dealership group, looking for a detail-driven Deal Processor to support its dealership finance and administration functions.
About the Role
The Deal Processor is responsible for reviewing completed vehicle sales and ensuring all documentation and financial information is accurate. The role involves reconciling figures across the Dealer Management System (DMS) and supporting documentation, identifying discrepancies, and ensuring each deal is correctly processed and finalised. It requires a strong accounting mindset, excellent attention to detail, and the ability to investigate and resolve discrepancies across multiple systems. Once fully trained, an experienced Deal Processor may typically manage approximately 10–15 vehicle deals per day depending on complexity and mix of cash and finance transactions — accuracy and completeness always take priority over volume.
Key Responsibilities
- Process vehicle sales deals from completed sales contract through to finalisation
- Review deal documentation for accuracy, completeness and consistency
- Process both cash and finance vehicle deals
- Enter, review and validate deal information within the dealership's Dealer Management System (DMS)
- Check vehicle sale figures, costs, payments and other financial information against supporting documentation
- Cost and reconcile vehicle deals to ensure all figures balance correctly
- Identify discrepancies, missing information or incorrect entries within deal files
- Investigate discrepancies across the DMS, sales documentation and other relevant systems
- Liaise with Sales Managers, Accounts and other dealership staff to resolve errors or obtain missing documentation
- Escalate outstanding discrepancies or documentation issues when required
- Maintain accurate electronic deal files and supporting documentation
- Assist with deal-related reconciliations and month-end processing
- Ensure deals are processed accurately and in accordance with dealership procedures
- Maintain clear records of outstanding actions and follow up internal stakeholders where required

Skills
- Extremely detail-oriented and accuracy-focused
- Comfortable investigating discrepancies and tracing the source of errors
- Confident working with numbers and financial information
- Strong understanding of accounting principles and reconciliations
- Organised and able to manage multiple deals simultaneously
- Comfortable following up stakeholders for missing information, and proactive in escalating issues that delay deal completion
- Able to work independently once trained, across multiple systems and documents
- Able to follow structured dealership processes and procedures
Experience
- Previous experience in automotive dealership deal processing, deal costing, vehicle sales administration or dealership accounts
- Experience working within an automotive Dealer Management System (DMS)
- Understanding of vehicle sales transactions and dealership administration
- Experience processing and reconciling financial transactions
- Experience reviewing high volumes of documentation for accuracy
- Direct deal processing or deal costing experience within an Australian automotive dealership strongly preferred; experience using Pentana or another Australian automotive DMS highly regarded
