The Opportunity
We are looking for a sharp, process-oriented Data Operations Specialist to serve as the engine that keeps our systems clean, reliable, and unblocked. In this role, you will work across HubSpot, Clockify, our internal database, and Hex—touching everything from routine audits and fixes to building dashboards that help leadership make smarter decisions.

You'll be responsible for investigating discrepancies, maintaining finance reporting, and ensuring our backend data syncs are flawless.
What Your Day-to-Day Will Look Like
- Systems Health & Hygiene: Own daily data hygiene across HubSpot and Clockify, managing duplicate records, workflow issues, data backfills, and ad-hoc fixes.
- Technical Troubleshooting: Investigate and resolve Clockify discrepancies (missed hours, project unarchiving, one-off pulls) and monitor HubSpot-to-database sync scripts.
- Finance Operations: Build and maintain Excel-based finance reports covering AR collections, talent payments, hours overage reviews, and contract referrals.
- Process Management: Own the weekly deal review process and manage other recurring monthly operational audits.
- Operational Onboarding: Support new client onboarding from a data standpoint and develop a standardized purchase order tracking process.
- Reporting & Visualization: Create HubSpot dashboards and build/maintain data visualizations within Hex to provide visibility for various team leads.
- Database QA: Perform backend data QA to ensure data is passing through systems properly, labeling notes, and dropping unnecessary tables to maintain database performance.
What You Bring
- CRM Expertise: Hands-on experience with HubSpot (workflows, records, and reporting) and comfort working deep inside CRMs and databases.
- Analytical Rigor: A natural instinct for data quality and strong attention to detail; you don't just fix a cell, you fix the system.
- Tool Proficiency: Familiarity with tools like Clockify and Hex (or the ability to get up to speed fast) and intermediate to advanced skills in Excel/Google Sheets.
- Independent Problem Solving: Comfort working independently on ambiguous, evolving tasks and the ability to investigate root causes autonomously.
- Clear Communication: You flag issues early, document your logic thoroughly, and know exactly when to escalate blockers.
- Technical Aptitude: While not required, SQL or scripting experience is a significant plus for managing database syncs and data prep.
Bonus Points if:
- You have experience building automated dashboards and training teams on how to use them.
- You have previously supported Finance or Accounting teams with data audits and collection workflows.
- You have experience with MCP data prep or managing repair scripts for syncing data.
