Information Controller

Overview

The Information Controller is responsible for ensuring the accuracy, completeness, and integrity of all technical and operational data used across the company's systems and processes.

Key Responsibilities

1. Data & Document Verification

  • Review, validate, and authenticate technical documents, drawings, specifications, and equipment information related to engineering or facility management.
  • Ensure all submitted documents meet company standards, regulatory requirements, and project specifications.
  • Verify accuracy of product information (e.g., electrical, communication, mechanical components) compliant with industry codes.
  • Maintain a controlled repository of updated and approved documentation.

2. Information Management & Analysis

  • Analyze incoming data for completeness, consistency, and correctness before integration into company systems.
  • Identify discrepancies, errors, or missing information and coordinate resolution with internal teams or external suppliers.
  • Prepare structured reports, summaries, and data quality metrics for management review.
  • Support data-driven decision-making through organized and validated information sets.

3. CRM / Software Configuration

  • Configure CRM or internal software platforms (e.g., Hemy 360, asset management systems) to ensure accurate mapping of data fields, workflows, and automation rules.
  • Manage system inputs, templates, and metadata to ensure smooth process flows across departments.
  • Test system updates, new features, and configuration changes before deployment.
  • Troubleshoot configuration-related issues and coordinate with IT or developers for system improvements.

4. Cross-Functional Coordination

  • Work closely with engineering, operations, procurement, and administrative teams to gather required information.
  • Provide guidance on proper documentation standards and data submission requirements.
  • Support onboarding and training for users on proper data input and documentation processes.

5. Compliance & Standards

  • Ensure information aligns with regulatory bodies and industry standards
  • Maintain strict confidentiality and data integrity in accordance with company policies.

Qualifications

  • Bachelor's Degree in Electronics and Communications Engineering (ECE), Industrial Engineering, IT, or related engineering field.
  • Strong understanding of engineering documentation, technical specifications, and equipment information.
  • Experience in document control, data verification, or information management.
  • Preferably with hands-on experience with CRM systems, ERP modules, or technical software configuration.
  • Proficiency in analyzing structured and unstructured data.
  • Excellent attention to detail, organizational skills, and problem-solving abilities.
  • Strong communication skills for coordinating with teams and external partners.
  • Knowledge of regulatory and compliance requirements related to engineering documentation (preferred).

Preferred Skills

  • Experience with asset or facilities management systems.
  • Familiarity with process mapping, workflow optimization, or data governance.
  • Knowledge of database structures or data quality frameworks.
  • Can report to either Alabang or Davao Office; or Amritsar India Office.
