Position Title: Data Entry Specialist
About the Role
We are hiring a Data Entry Specialist to support a UK-based recruitment business in growing and maintaining the accuracy of their CRM database (Bullhorn). You will focus on researching and updating contact information for thousands of company records, ensuring that key decision-makers and contacts are correctly identified, tagged, and kept up to date.
In addition to CRM data management, you will monitor marketing and consultant email inboxes for out-of-office auto replies, using the information provided to maintain accurate contact records and identify new business contacts.
This is a full-time, dedicated role where you will work exclusively with one client as an extension of their team.
Key Responsibilities
- CRM Data Management (Bullhorn)
- Review existing company records in the Bullhorn CRM.
- Identify missing or incomplete contact information for each company record.
- Add new contacts under existing companies, ensuring all required fields are accurately completed (name, title/role, email address, location/site, categories/tags, etc.).
- Accurately tag contacts and companies according to the client's defined categories and workflows.
- Contact Research & Lead Enrichment
- For each company, research and identify relevant decision-makers such as:
- Plant Director
- Operations Director
- General Manager / Plant Manager
- Other relevant operational or leadership roles
- Find and verify professional email addresses and, where applicable, other key details.
- Use approved tools, websites, and techniques to source accurate contact data.
- Email & Out-of-Office Management
- Monitor marketing and consultant email inboxes for out-of-office auto replies.
- Review auto replies to identify return dates and maintain accurate records of who is out of the office and when they are expected to return.
- Identify replacement or alternative contacts provided within auto replies and add them to Bullhorn where appropriate.
- Update existing contact records with new information received through auto replies, including changes in roles, contact details, or responsibilities.
- Ensure new contacts identified through email responses are accurately tagged and linked to the appropriate company records.
- Data Quality & Hygiene
- Clean, standardize, and update existing records to ensure consistency and quality.
- Review out-of-office replies and related emails to:
- Identify alternative or new contacts
- Update existing contact information where needed
- Add new contacts into Bullhorn and tag them appropriately
- Maintain a high level of accuracy and attention to detail in all entries.
- Collaboration & Reporting
- Work closely with the client (and their sales/marketing teams) to understand data priorities and tagging logic.
- Follow documented processes and guidelines for data entry and quality.
- Provide updates on progress (e.g., number of contacts added/updated, issues encountered).
- Participate in check-ins or performance reviews as required.
Qualifications & Skills
Must-Have:
- Proven data entry, lead generation, research, or CRM administration experience (recruitment or sales environment a plus).
- Strong attention to detail and high level of accuracy in data entry.
- Good written English – able to understand job titles, company structures, and email/domain formats.
- Comfortable working with large volumes of data (thousands of records).
- Proficiency with:
- Web research (LinkedIn, company websites, directories, etc.)
- Basic productivity tools (e.g., Excel/Google Sheets, email, web browsers)
- Ability to follow structured processes and maintain consistency in tagging and categorization.
- High level of integrity and trustworthiness, particularly in handling business data.
Nice-to-Have (Not Required):
- Experience using Bullhorn or other recruitment CRMs.
- Experience in recruitment, sales operations, marketing operations, or B2B lead enrichment.
- Prior experience working with UK, US, or international clients.
Work Schedule & Setup
- Work Hours: Full-time, 8 hours per day.
- Standard schedule is 9:00 AM – 6:00 PM Manila time, but flexibility may be possible based on agreement with the client.
- Work Arrangement: Work-from-home with company-provided equipment.
