The Opportunity

We are looking for a proactive and detail-oriented Customer Success Representative to manage the end-to-end client journey for our studio operations. This is a high-impact role where hospitality meets sales operations; you will be responsible for handling 50+ daily inquiries while executing strategic workflows that convert trial users into loyal members. Beyond daily messaging, you will serve as an operational backbone by managing instructor payroll data and supporting marketing campaigns. What Your Day-to-Day Will Look Like

  • Omnichannel Support: Manage high-volume daily customer inquiries (50+) across email and WhatsApp with a focus on accuracy and timely response.
  • Client Journey Execution: Drive retention and growth by sending welcome messages, post-visit check-ins, and promotional follow-ups according to structured lifecycle flows.
  • Sales Conversion: Proactively guide trial customers toward memberships, credits, and consultations to meet studio growth targets.
  • Operational Reporting: Extract attendance data from booking systems and maintain spreadsheets for accurate instructor payroll calculations.
  • Booking Coordination: Manage booking links and provide expert guidance to clients regarding studio services, packages, and membership tiers.
  • Marketing Assistance: Support the internal team and marketing agency with email campaign scheduling and customer list organization.

What You Bring

  • Experience: 2+ years of professional experience in customer support, client success, or administrative coordination.
  • Communication Mastery: Exceptional written English skills; you can navigate client interactions with professionalism and warmth.
  • Data Literacy: Strong proficiency in Google Sheets/Excel, including data entry, organization, and the use of basic formulas.
  • System Agility: Ability to quickly learn and navigate CRM or booking platforms (e.g., Mindbody, Eversports) and messaging tools like WhatsApp.
  • Reliability: High attention to detail with the ability to manage multiple concurrent tasks and follow-through on complex workflows.
  • Availability: Ability to work Central European Time (CET) hours (e.g., 12:00 PM – 9:00 PM CET).

Bonus Points if:

  • You are fluent in German (a strong plus).
  • You have experience in the boutique fitness, wellness, or hospitality industries.
  • You have prior experience supporting payroll or operational reporting.
  • You have a basic understanding of sales funnels and customer lifecycle marketing.
