Job Description

General Functions & Tasks

To Support Internal and External Customer

  • Provide quotation and address inquiries (availability, price, Lead Time, etc.) from customers.
  • Receive, process, and expedite parts orders.
  • Communicate with customer the needed purchase order or down payment and full payment prior to ordering or delivery.
  • Provide regular update on customer orders status.
  • Process and coordinate releasing (including invoicing) of received orders for delivery to site or customer delivery address.
  • Process replenishment order from project sites other than OceanaGold in Didipio.
  • Coordinate with factory, logistics and DI documents required for the ordered goods. (example: NTC permit, DOE, Dangerous goods, etc.)
  • Address inquiries on availability, price, lead time, etc.
  • Provide regular delivery status update.

Related Logistics

  • Review all inbound document, invoice, airwaybill, packing list, duties and taxes.
  • Request brochure and product specification from technical support group.
  • Provide supporting documents to agent, example PO, order acknowledgement, brochure and technical specifications.
  • Assist quarterly and yearly stock take at all warehouses

Reporting

  • Order intake (Weekly)
  • Goods in transit and long overdue orders (Weekly)

Relationships and Authority

  • Reports to Parts and Service Manager
  • Reports indirectly to Finance

Entry Qualifications And Experience

  • Ability to work as a team member of a self-managed group is essential.
  • Ability to work and perform unsupervised mandatory.
  • High level of initiative, drive, flexibility, and determination to achieve goals and targets set for customer satisfaction.
  • Ability to carry out responsibilities in a manner conducive to SMR Occupational Health and Safety policies, procedures, and objectives.
  • Have a high standard of interpersonal and communication skills (verbal and written);
  • Have highly developed time management and organizational skills.
  • Computer literacy (especially MS word/excel essential, and PowerPoint/access may be helpful);
  • Familiarity with SMC information systems (Pronto or JBA) and methodologies would be an advantage.
  • Understanding of the mining industry.
  • Understanding of customer business processes.
  • Highly developed customer relations skills.
  • Having a positive attitude and being helpful without having to be asked.
  • Knowledge of and experience with our product range may be beneficial.
  • Exposure to a customer service position with parts interpretation would be a considerable advantage
