B&A Food Brokers is looking for a detail-driven Customer Service & Systems Admin to join our team. You'll play a central role in keeping our vendor and customer operations running smoothly — managing portals, processing orders, and supporting the full lifecycle of our product lines. What You'll Do:

Portal & Systems Management

  • Own the full lifecycle of customer and vendor portals — new item setup, promotional contract entry, price adjustments, and ongoing maintenance
  • Run weekly movement reports and distribute to internal team and vendor partners
  • Perform deduction analysis — identifying, tracking, and flagging discrepancies across accounts
  • Manage ordering and procurement workflows, ensuring accuracy and timeliness
  • Monitor product lifecycle from authorization through discontinuation

Customer Service & Account Support

  • Process orders accurately and audit invoices for data integrity
  • Communicate with vendors and customers to resolve issues, gather missing information, and respond to requests
  • Maintain and update customer and vendor records
  • Relay key customer and vendor feedback internally

What We're Looking For:

  • Prior experience in sales admin, customer service, or account support
  • Advanced proficiency in Microsoft Office, especially Excel, and Microsoft Teams for daily communication and collaboration
  • Experience with CRM platforms and customer/vendor portals
  • Familiarity with food industry units of measure — pounds, ounces, cases, and pack configurations
  • Strong organizational skills and attention to detail
  • Comfortable working independently in a remote environment with EST hours overlap
  • High level of ownership and follow-through
