Position Overview
We are looking for an Intermediate CRM & Systems Administrator (2–3 years experience) to maintain and optimize our business platforms. In this role, you will manage day-to-day operations in HubSpot or Salesforce, support data transfers, build automated workflows, and keep our customer database accurate and clean.
This role bridges business operations and cloud systems—helping turn team requirements into automated pipelines, clean data flows, and clear reporting dashboards.
Key Responsibilities
- CRM Administration & Integration Support
- Platform Support: Handle daily user requests, grant access permissions, update fields/properties, and manage deal or sales pipelines in HubSpot or Salesforce.
- Data Migration: Assist with transferring, mapping, and cleansing data from spreadsheets or legacy CRMs into the platform without losing record context.
- Basic Integrations: Connect HubSpot or Salesforce with third-party tools (e.g., email clients, calendars, Zapier/Make) to keep data syncing smoothly.
- Automation & Workflow Support
- Workflow Building: Create, test, and troubleshoot automated lead routing rules, email sequences, task triggers, and lifecycle stage updates.
- Process Improvements: Help update old automations (such as updating legacy Salesforce Process Builders to basic Record-Triggered Flows) to keep system performance fast.
- Reporting & Data Hygiene
- Dashboards & Metrics: Build standard reports and dashboards to track team KPIs, funnel conversion, and activity SLAs.
- Data Cleansing: Run routine data health checks using Excel (pivot tables, VLOOKUP/XLOOKUP) to remove duplicate records and fix formatting errors.
Qualifications & Requirements
- Education (Non-Negotiable): Bachelor's degree (preferably in Information Technology, Computer Science, Information Systems, Business Administration, or a related field).
- Experience: 2 to 3 years of hands-on experience in CRM operations, database support, or general administration in HubSpot or Salesforce.
- Certifications (Preferred): Active HubSpot Certification (Sales, Marketing, or Operations Hub) or Salesforce Certified Administrator.
Technical Skills
- Proficiency in Excel for data cleansing (pivot tables, lookup formulas).
- Working knowledge of import tools, field mapping, and database hygiene.
- Familiarity with middleware tools like Zapier or Make is a plus.
Soft Skills
- Good problem-solving ability, high attention to detail, clear written/verbal English communication, and readiness to help team members adopt CRM best practices.
