About the Role:

The CRM & GTM Systems Specialist is responsible for managing and optimising the company's HubSpot CRM ecosystem and connected Go-To-Market (GTM) technology stack.

This role plays a critical part in building and maintaining the organisation's GTM infrastructure, ensuring systems used by Sales, Marketing, Client Success (Account Management), and Operations are integrated, efficient, and supported by accurate data.

The successful candidate will ensure HubSpot operates as the one source of truth across the business, enabling teams to work efficiently with clean data, automated workflows, and actionable reporting. This role will lead CRM implementation, system optimisation, integrations with external GTM tools, and the introduction of AI-powered automation to improve operational efficiency and pipeline visibility.

This position requires both strategic system thinking and hands-on technical execution, working closely with internal teams to continuously improve processes, reporting, and CRM-driven operations

Key Responsibilities:

1. CRM Ownership & System Architecture

• Manage and optimise HubSpot as the organisation's central CRM platform

• Design and maintain CRM structures, pipelines, and workflows that support Sales, Marketing, Client Success, and Operations

• Ensure CRM data remains clean, structured, and governed by strong data management practices

• Maintain HubSpot as the one source of truth across the company's GTM technology stack

2. CRM Implementation & Optimisation

• Lead the implementation, configuration, and ongoing optimisation of HubSpot CRM

• Manage CRM data migration, ensuring accuracy, deduplication, and data integrity

• Build and maintain dashboards and reports that provide visibility into pipeline performance, campaigns, and operational metrics

• Document CRM architecture, workflows, automation processes, and system configurations

3. Automation & Workflow Management

• Design and implement workflow automation across the full lead-to-client lifecycle, including:

  • Lead capture and enrichment
  • Lead routing and follow-up automation
  • Opportunity and deal lifecycle management
  • Sales pipeline automation and task management
  • Client onboarding workflows
  • Client success lifecycle management
  • • Implement automation initiatives that improve operational efficiency and reduce manual workloads across teams

4. Tool Integrations & Technical Setup

• Integrate HubSpot with third-party tools across the GTM stack, including platforms such as:

  • Clay
  • Smartlead
  • Apollo
  • Firmable
  • Other outreach, data enrichment, and GTM tools
  • • Build and maintain integrations using APIs, Zapier, Make (Integromat), or similar middleware platforms
  • • Ensure engagement data, outreach activity, and campaign performance automatically sync into HubSpot
  • • Provide technical support and troubleshooting for CRM workflows, integrations, and GTM systems used across Sales, Marketing, Client Success, and Operations

5. AI Enablement

• Implement and optimise AI-powered tools that support:

  • Lead enrichment
  • Lead scoring
  • Prospect research
  • Campaign optimisation
  • • Work with AI-powered platforms such as Clay to automate prospect data enrichment and outreach workflows
  • • Identify opportunities to leverage AI tools to improve GTM performance, automation, and reporting insights

6. Reporting & Performance Visibility

• Develop and maintain live dashboards and reports for leadership and operational teams

• Track and analyse key metrics including:

  • Pipeline health
  • Campaign performance
  • Sales activity and conversion rates
  • Lead engagement metrics
  • • Deliver weekly reporting insights that help teams understand trends and performance, beyond raw data

Experience & Requirements

Core Experience

• Minimum 5 years of experience working with CRM systems, preferably HubSpot

• Proven experience implementing CRM automation, workflows, and system optimisation

• Experience integrating third-party GTM tools with CRM platforms

• Experience supporting cross-functional teams including sales, marketing, operations, and client success

Must-Have Qualifications

• HubSpot certification

• Experience working with GTM technology stacks and sales automation platforms

• Experience implementing CRM systems for organisations with multiple departments and users

• Background in outsourcing, offshoring recruitment, BPO, or B2B services environments

Technical Skills

• HubSpot CRM configuration and administration

• CRM workflow automation and system design

• API integrations and CRM data management

• Automation platforms such as Zapier or Make (Integromat)

• Data enrichment platforms and outreach automation tools such as Smartlead, Apollo, or similar

AI & Data Tools

• Experience working with AI-driven tools including:

  • Clay
  • AI-powered lead enrichment platforms
  • AI workflow automation tools
  • Predictive data or lead scoring systems
