About this Opportunity
We are looking for a Crewing Admin Support Officer to join our team. This is a full-time position based in the Philippines. In this role, you will provide comprehensive administrative support to the Crewing team, assisting with personnel logistics and supporting the employee lifecycle.
Reporting to the Centre of Excellence - Manager, you will work closely with the Crewing team and collaborate with external stakeholders, including clients, vendors, and government and statutory authorities.
Key Responsibilities
- Maintain accurate and confidential employee and crew records, including qualifications, training, and competency information.
- Ensure compliance with Company policies, procedures, legislative and regulatory requirements through the accurate and timely maintenance of employee records
- Processing of PO's and receipting of invoices for all crew change associated costs.
- Obtain flag state approval for tickets when sailing on a non-Australian vessel.
- Run reports on crew Seatime records for the crew members to reissue their tickets. This includes DP sea service requests.
- Provide administrative support across the employee lifecycle, including onboarding, documentation, checks, reporting, and expense claims.
- Coordinate crew training, inductions, bookings, purchase requisitions, and training compliance.
- Monitor crew certifications, tickets, and sea-time records, ensuring renewals and approvals are completed on time.
- Coordinate the onboarding process for new employees in accordance with Company procedures.
- Conduct references and police checks.
- Preparation of candidates resumes.
- Support crew rostering, vessel allocations, travel logistics, mobilisation, and demobilisation.
- Maintain vessel-specific training matrices and address identified training gaps.
- Assist with recruitment and rostering requirements to support fleet operations.
- Provide support to the Crewing and Training teams during periods of absence and as required.
Qualifications and Experience
- Certificate or Diploma in Business Administration or a related field is desirable.
- Previous experience in a similar administrative or personnel logistics support role.
- Proficient in Microsoft Office and experienced in using HRIS systems.
- Strong organisational skills, with the ability to manage competing priorities and deadlines in a fast-paced environment.
- Excellent attention to detail and accuracy.
- Strong communication and interpersonal skills, with the ability to work effectively with internal teams, clients, and other stakeholders.
- Self-motivated, adaptable, and able to work independently with minimal supervision.
- Strong problem-solving and critical-thinking skills, with a practical and systematic approach to resolving issues.
- Ability to work collaboratively and provide support during busy periods.
- Marine industry experience is desirable.
