Responsible for accurate and reliable financial transactions and reports as used by management and stakeholders for major business decisions; ensuring compliance with company policies and procedures
DUTIES AND RESPONSIBILITIES:
A. Sales Order (SO) Approval Process:
- Ensure accurate information (e.g., total exposure, past due, history of returned checks, etc.) of customer accounts are provided to management during the SO approval process.
- Ensure completeness of attachments and timely provision of information during the SO approval process.
B. Payment Application:
- Ensure timely application of customer payments to corresponding DR/SI in the system (e.g., within 1 to 2 days upon receipt of supporting documents as basis for internal reconciliation)
C. Credit Memo (CM) Processing for COD, Prompt Payment Rebates,
Price Adjustments, etc. :
- Ensure that only valid and duly approved CM are processed, based on existing policies and procedures.
- Ensure timely releasing of CMs based on existing policies and procedures.
D. Aging of Accounts Receivable (AR):
- Ensure accuracy and timeliness of information related to customer account status
E. Statement of Accounts (SOA) Preparation:
- Ensure timely release of SOA and accuracy of information reflected in SOA. (i.e., all details reflected in SOA for release to customer is up to date and status are correct. e.g., unpaid or partially paid DRs, uncollected CWTs and unapplied credits)
F. Collection Follow-Up for overdue Account:
- Ensure that all status, nature, or reasons of past due accounts are verified and followed-up to customers or to JMFEI's Technical Sales
- Consultant who handles the account. Accounts needed to be urgently attended to should be brought to the attention of management in a timely manner
G. Accounts Reconciliation:
- Ensure timely identification and reconciliation of the nature of floating balances, through reconciliation with customer or TSC, and that reconciliations are duly supported and documented.
H. Creditable Withholding Tax Management (CWT)
- Ensure completeness of certificates of CWT deductions, accuracy of recorded CWTs, and timeliness of certificate transmittal/collection for BIR claims.
