Job Overview
We are seeking a hands-on Certified Public Accountant (CPA) with current QuickBooks experience to oversee day-to-day accounting accuracy, ensure Accounts Payable (AP), Accounts Receivable (AR), and Inventory are consistently up to date, and collaborate closely with our bookkeeper.
Job Highlights
Schedule: Monday – Friday, flexible 8-hour schedule with 60-minute unpaid break (8 hours per day, 40 hours per week)

Responsibilities
Operational Accounting & System Oversight
- Maintain and monitor QuickBooks to ensure accurate, real-time financial data
- Review and verify AP, AR, and inventory records for completeness and accuracy
- Utilize Wherefore or other ERP systems if available
- Perform reconciliations and resolve discrepancies promptly
- Implement and maintain efficient accounting workflows and internal controls
- Provide hands-on transactional support when needed to keep records current
Collaboration with Bookkeeper
- Review entries, coding, and reconciliations with the bookkeeper
- Provide guidance, training, and process improvement recommendations
- Ensure deadlines for payables, receivables, and reporting are consistently met
- Serve as escalation point for complex accounting issues
External Firm & Year-End Coordination
- Act as primary liaison with external accounting firm for year-end financial statements and compilation engagement
- Prepare and organize schedules, reconciliations, and supporting documentation
- Address questions, adjustments, and recommendations from external accountants
- Ensure timely and accurate completion of year-end reporting requirements
Financial Reporting & Compliance
- Prepare and review monthly and quarterly financial statements and management reports
- Monitor compliance with applicable accounting standards and tax regulations
- Support audit, review, or compilation processes as required
Analysis & Process Improvement
- Monitor cash flow, margins, and inventory performance
- Identify inefficiencies and recommend improvements to systems and procedures
- Support budgeting, forecasting, and management decision-making
Requirements
Education & Certification
- CPA designation in good standing
- Bachelor's degree in Accounting, Finance, or related field
Experience & Skills
- Strong, recent, hands-on QuickBooks experience (Online and/or Desktop)
- Proven responsibility for AP, AR, and inventory accuracy
- Experience collaborating with an external accounting firm for year-end
- Experience supervising or partnering with a bookkeeper
- 3–5 years of progressive accounting experience
- Detail-oriented with strong reconciliation and problem-solving ability
- Practical, hands-on approach — not purely advisory
- Strong communication and teamwork skills
- Proficiency in Excel and accounting systems
- Ability to manage deadlines and multiple priorities
