As a Corporate Secretarial Assistant, you will provide vital administrative and compliance support to ensure the seamless governance of our clients corporate entities. This role is designed for a detail-oriented professional with a strong understanding of Australian corporate regulations. You will take ownership of critical statutory deadlines, from managing annual statements to maintaining accurate corporate records, ensuring all entities remain in good standing with regulatory bodies.
Your Impact
Statutory Compliance Management: Lead the distribution of Annual Company Statements to clients. You will ensure that all documentation is accurate, sent out in a timely manner, and tracked effectively to meet strict Australian regulatory deadlines.
Financial Coordination: Prepare and manage invoices specifically relating to Annual Company Statements. You will play a key role in the financial lifecycle of corporate secretarial services, ensuring billing is accurate and delivered alongside compliance documents.
Regulatory Liaison: Proactively follow up with clients regarding ASIC debt reminders. Your persistent and professional communication helps clients avoid late fees and ensures their entities remain compliant with the Australian Securities and Investments Commission.
Records & Documentation: Manage the systematic filing of corporate secretarial documents. You will ensure that the corporate memory of each entity is preserved, organized, and easily accessible for audits or internal reviews.
Ad-hoc Project Support: Assist with specialized corporate secretarial projects as required. Whether it is entity registrations, changes in officeholders, or process improvements, you will provide the administrative muscle to see these projects to completion.
What You Bring
The Experience:Minimum 3 years of experience working as a Corporate Secretarial Assistant within a team environment. Previous experience in a professional services firm (accounting or law) is required.
Technical Mastery: Intermediate proficiency in the Microsoft Suite (Word, Excel, and PowerPoint). Intermediate knowledge of CAS 360 software is highly preferred, as it is central to managing Australian corporate secretarial workflows.
Regulatory Knowledge: A strong foundational understanding of the Corporations Act, corporate governance principles, and their practical application within the Australian business landscape.
The Credentials: Satisfactory VCE completion or equivalent (Senior High School graduate or higher).
The Mindset: Exceptional attention to detail and organizational skills. You are a proactive professional who understands the importance of deadlines and can manage multiple client compliance schedules simultaneously.
