Job Description
We are looking for a detail-oriented Contracts Coordinator dedicated to the SPX Expansions contract pipeline. This is a newly created role designed to eliminate bottlenecks in the execution of Contracts of Lease (COL) by introducing a rigorous pre-validation step before requests reach Legal. The Contracts Coordinator acts as the critical checkpoint between the Expansion PIC (Person-in-Charge) and Legal, ensuring that all documentation is complete, accurate, and consistent before formal submission.
Key Responsibilities
- Validate lease and contract requests against the applicable SPX due diligence checklist and confirm that all required lessor and supporting documents are complete before routing to Legal.
- Prepare contract request packages using standard templates and forms provided by Legal, and conduct first-pass completeness and consistency checks across all submitted documents.
- Review, organize, and maintain documentation related to contracts and business processes, ensuring consistency, completeness, and proper file organization.
- Support adherence to established process flows, helping reduce errors or rejections before matters reach the relevant approving authority, and push back on incomplete submissions.
- Maintain a centralized, well-organized repository of validated documents and correspondence for audit and tracking purposes.
- Liaise with Expansion PICs, Legal, Tax, and Finance as needed to keep contract requests moving efficiently, and serve as the single point of coordination for contract-related submissions to Legal.
Requirements
Qualifications
- Bachelor's degree in Business, Real Estate Management, Legal Management, or a related field.
- 1–3 years of experience as a contract administrator, documentation officer, leasing coordinator, or paralegal/legal assistant; real estate or commercial leasing experience is a strong advantage.
- Strong attention to detail with the ability to spot inconsistencies across multiple documents.
- Solid understanding of contract documentation, due diligence requirements, and commercial lease terms (or ability to learn quickly).
- Excellent organizational and file management skills.
- Strong written and verbal communication skills, with the confidence to push back on incomplete submissions.
- Proficiency with MS Office (Word, Excel) and Google Workspace (Forms, Drive, Sheets) and document management tools.
- Good communication skills with ability to work cross-functionally with PICs, Legal, Tax, and Finance teams.
