Job Summary:
The ContractsandProposals SpecialistsupportstheBusinessDevelopmentteamby preparing, reviewing, coordinating, and managing contracts and business proposals related to properties, owners, and real estate services. This rolewill workclosely withinternalteams to ensure all contracts and proposals areaccurate, compliant, and aligned with company and regulatory standards.The position is fully remote and requires strong attention to detail, organization, and deadline management.
Responsibilities:
Contracts Management:
- Draft, review, and revise contracts such as property management agreements, and service contracts, lease-related addendums, NDAs, and amendments.
- Ensure contractscomply withcompany policies, local real estate regulations, and property-specific requirements.
- Coordinate contract reviews and approvals with Legal and leadership.
- Track contract terms, renewals, expirations, and key obligations for managed properties.
- Maintain organized digital contract files and contract trackers.
Proposals:
- Collaborate withBusiness Development Specialistto gather scope of work, pricing, and supporting documentation.
- Customizeproposals for property owners, HOAs, and commercial or residential clients.
- Ensure proposals meet client requirements and submission deadlines.
Real EstateandProperty Operations Support:
- Coordinate withinternalteams on contract-related billing terms and service scopes.
- Maintain proposal templates, contract templates, and content libraries specific to property management.
Cross-Functional Coordination:
- Serve as the primary point of contact for contract and proposal-related inquiries.
- Provide regular status updates on contracts and proposals to internal stakeholders.
- Identifyopportunities to improve contract and proposal workflows.
ComplianceandDocumentation:
- Ensure confidentiality and proper handling of owner, tenant, and vendor information.
- Support audits, due diligence requests, and internal reporting as needed.
- Perform other related duties as assigned.
QualificationsandExperience:
- Bachelor's degree in Business Administration,Legal Studies, ora relatedfield (or equivalent experience).
- 2-3+ years of experience incontractsadministration,proposalsmanagement, or a related role within property management and/or real estate.
- Experience supporting residential, commercial, or mixed-use properties is a strong advantage.
- Familiarity with real estate contracts, vendor agreements, and property management operations.
Required Skills:
- Strong knowledge of contracts related to property management and real estate services.
- Excellent attention to detail and organizational skills.
- Strong written and verbal communication skills.
- Ability to manage multiple properties, contracts, and deadlines simultaneously.
- Proficiencyin Microsoft OfficeSuite andGoogle Workspace.
- Experience with contract management systems, e-signature tools, and project management platforms (e.g.,Hubspot,DocuSign, SharePoint, Asana, Monday, AppFolio, Yardi, or similar tools).
- Self-driven and able to work independently in a remote environment.
- Strong follow-up, time management, and prioritization skills.
- Collaborative and responsive when working with distributed teams.
- Detail-oriented with a problem-solving mindset.
Working conditions:
- Full-time remote work.
- Workschedule is Monday to Friday, 9:00 AM to 5:30 PM Eastern Standard Time (EST) including the 30 minutes unpaid meal break.
- Acceptance of using a time-tracking device (Hubstaff)installed on your computer whilerenderingservice with EJF Real Estate Services.
Physical requirements:
- Must have a personal computer/laptop that will be exclusively used whilerenderingservice to EJF Real Estate Services.
- Must have a back device (back up computer, back up internet, back up electricity) in case of service utility disruption.
- Must have a conducive working area away from noise and any disturbances that will affect your service with EJF Real Estate Services.
Rates and other privileges:
- Rate: $9-$10 per hour.
- 10 days PTO per year + 2 days paid Holiday Off (12/25 and 1/1).
- HMO reimbursement of max $300 per year.
- Guaranteed rate increase after 15th month of service and thereafter.
