Role Summary:

The Contract Administrator is a key member of the Contracts Organization, responsible for supporting the end-to-end contract lifecycle, including drafting, execution, documentation management, and repository maintenance.

The role works closely with Legal, Sales, Sales Operations, and other cross-functional teams to ensure contracts are processed efficiently, accurately, and in compliance with company standards. In addition to contract administration responsibilities, this role supports sales operations reporting, data validation, and performance tracking to ensure alignment, accuracy, and timely delivery of analytical outputs.

Functional / Technical Competencies:

  • Contract drafting and end-to-end contract lifecycle management
  • Data analysis, reporting, and performance tracking
  • Advanced Microsoft Excel proficiency
  • Exposure to reporting tools (e.g., Power BI)
  • Familiarity with enterprise systems (e.g., SAP, Microsoft Dynamics 365, Salesforce)
  • Document management and contract repository maintenance
  • Cross-functional collaboration with Legal, Sales, and Operations teams

Key Responsibilities:

  • Draft and process contracts and amendments end-to-end using standard templates, coordinating with Legal for review and approval
  • Partner with cross-functional teams (Sales, Legal, Operations) to develop, review, and execute contractual agreements
  • Manage the full contract execution process, including approvals, circulation, and signature tracking
  • Maintain an accurate and audit-ready repository of contracts, amendments, and related documentation
  • Monitor contract deadlines, renewals, and key milestones to ensure timely delivery
  • Support sales operations reporting through data analysis, calculations, and performance tracking
  • Ensure data accuracy and integrity across systems, reports, and dashboards
  • Generate actionable insights to support business decision-making and operational alignment
  • Act as a liaison between Sales Operations and stakeholders to align reporting and contract requirements
  • Identify process improvement opportunities and support continuous improvement initiatives

Relevant Credentials:

  • Bachelor's Degree in Business Administration or a related field

Must Haves:

  • Experience in contract drafting and end-to-end contract processing
  • Advanced proficiency in Microsoft Excel
  • Strong analytical and reporting skills
  • Experience working in a cross-functional and collaborative environment
  • High attention to detail and strong organizational skills

Nice to Haves:

  • Experience working with Sales or commercial teams
  • Exposure to contract lifecycle management tools and systems
  • Experience with Power BI or similar reporting tools
  • Familiarity with SAP, Microsoft Dynamics 365, Salesforce, or similar platforms
  • Background in IT, Finance, or Sales Operations
  • Knowledge of database or reporting systems
  • Background in Law (graduate or with completed units)
  • Experience handling legal contracts, particularly in Deal Contracting

Role Considerations:

  • Location: Cebu City
  • Work Setup: Hybrid
  • Work Schedule: Monday to Friday | Third Shift (may start at 8:00 PM)
  • This role may support multiple functional areas within Contract Administration and Sales Operations
  • Candidates may be evaluated against standardized competencies aligned to specific functional requirements
