Job Description

Position Summary

The Construction Project Officer is responsible for supporting the Senior Manager – Design and Construction in the planning, coordination, execution, and close-out of retail store and online kitchen construction projects. The role ensures projects are delivered on time, within budget, and in accordance with approved drawings, company standards, and safety requirements.

The position will directly handle day-to-day project coordination, site monitoring, contractor management, and documentation control across multiple projects. The Construction Project Officer acts as the primary field representative of the Design & Construction team and ensures proper coordination among internal stakeholders, landlords, consultants, and contractors.

Key Responsibilities

Project Planning & Pre-Construction

  • Assist the Senior Manager in developing project schedules, cost estimates, and implementation timelines.
  • Review lease plans, landlord technical guidelines, and design drawings before construction endorsement.
  • Participate in site inspections, site validation, and due diligence activities for new store locations.
  • Coordinate with the Design team to ensure completeness and constructability of issued drawings.
  • Assist in the preparation of project budgets and construction cost breakdowns.
  • Support permitting requirements and coordinate submission of drawings to the mall/landlord and authorities.
  • Validate site readiness before construction mobilization.

Project Execution & Site Management

  • Monitor day-to-day construction activities to ensure compliance with approved drawings and specifications.
  • Conduct regular site inspections and progress monitoring across assigned projects.
  • Ensure contractors follow the project schedule, manpower commitments, and milestone targets.
  • Coordinate directly with contractors, suppliers, mall engineering, and internal stakeholders.
  • Identify potential delays, risks, and construction issues and escalate to the Senior Manager.
  • Assist in resolving site technical issues and construction conflicts.
  • Monitor site safety practices and ensure compliance with company and mall safety requirements.
  • Track project milestones including mobilization, fit-out, equipment installation, and store turnover.

Contractor & Vendor Coordination

  • Assist with contractor onboarding, site mobilization, and kickoff meetings.
  • Monitor contractor performance, including quality, schedule, and compliance.
  • Validate accomplishment reports submitted by contractors.
  • Coordinate the delivery schedule of owner-supplied equipment and materials.
  • Ensure proper coordination between construction works and equipment installation.

Budget & Cost Monitoring

  • Track construction costs against the approved project budget.
  • Validate contractor billing, progress claims, and variation works.
  • Assist in the evaluation of change orders and additional work.
  • Identify cost-saving opportunities during implementation.
  • Ensure proper documentation of project expenditures.

Quality Control & Compliance

  • Ensure construction works comply with approved drawings and company standards.
  • Conduct a punch listing before project turnover.
  • Monitor rectification of defects before store opening.
  • Ensure compliance with mall/landlord construction guidelines.
  • Validate completion of testing and commissioning requirements.
  • Assist in project close-out documentation and turnover.

Documentation & Reporting

  • Maintain an updated project tracker for assigned stores.
  • Prepare weekly project status reports.
  • Monitor submission of shop drawings, RFIs, and as-built drawings.
  • Ensure proper documentation of change orders and site instructions.
  • Provide photo documentation and progress updates.

Stakeholder Coordination

  • Coordinate with the Operations team for store opening requirements.
  • Work closely with the Design team for drawing clarifications.
  • Coordinate with purchasing for vendor and delivery scheduling.
  • Liaise with landlords and mall engineering teams during construction.
  • Support the Senior Manager in project review meetings.

Qualifications

Education

  • Bachelor's Degree in Civil Engineering, Architecture, Mechanical Engineering, or Electrical Engineering.
  • Licensed Engineer or Architect.

Experience

  • Minimum 3–5 years of experience in construction project supervision or project management
  • Experience in retail, restaurant, or commercial fit-out construction preferred
  • Experience handling multiple projects simultaneously
  • Experience coordinating with contractors and landlords

Skills

  • Strong understanding of construction fit-out works

Working Conditions

This position requires reporting to the BGC Head Office and frequent site visits across Metro Manila and provincial locations. Occasional extended working hours may be required to support project timelines and store opening schedules.
