ROLE SNAPSHOT:

ABOUT THE ROLE
The Construction Project Management is responsible for keeping projects moving by managing day-to-day coordination, project administration, scheduling, documentation, logistics, and communication. This role provides operational continuity by ensuring office functions continue seamlessly whenever the Operations Manager is attending site or the Project Director is unavailable
What you'll be working on
Project Coordination
- Coordinate multiple demolition projects simultaneously.
- Ensure projects are planned and prepared before mobilisation.
- Assist with project programming and scheduling.
- Manage project scope and communicate any changes.
- Prepare and coordinate project handovers.
- Maintain accurate project reports and progress updates.
Client & Stakeholder Communication
- Act as a key point of contact for clients, subcontractors, suppliers, and internal teams.
- Coordinate project-related emails and correspondence.
- Attend stakeholder meetings when required.
- Escalate project issues to the Project Director when necessary.
Project Administration
- Prepare quotations for minor works (up to AUD $1,000).
- Maintain complete and accurate job documentation.
- Ensure project information is updated within company systems.
- Perform job data entry and document control.
- Conduct Job Management System (JMS) checks to ensure project compliance.
Operations Support
- Support site operations through effective office coordination.
- Coordinate material purchase requests with the Operations Manager.
- Organise warehouse outbound deliveries and project logistics.
- Coordinate recycling and waste management requirements.
- Assist with site management and project coordination where required.
Team Leadership & Coordination
- Conduct toolbox meetings and project coordination meetings.
- Support recruitment and resource planning.
- Coordinate with internal departments to ensure projects remain on schedule.
- Assist in resolving day-to-day operational issues.
Reporting & Continuous Improvement
- Prepare project reports and operational updates.
- Monitor project progress against schedules.
- Identify opportunities to improve project workflows and operational efficiency.
- Support the implementation of company procedures and systems.
What we're looking for
- 3–5 years of experience in Project Coordination, Project Management, Construction Administration, or Operations Coordination.
- 2+ years of experience in Contracts Administration
- Strong organisational and multitasking skills.
- Excellent written and verbal English communication skills.
- Experience coordinating multiple projects simultaneously.
- Strong problem-solving and decision-making abilities.
- Ability to work independently with minimal supervision.
- Proficient in MS Suite, Groundplan, Ascora (or similar Job Management/Field Service Management Software)
