Job Description

Overview:

Are you an experienced construction professional who enjoys both estimating and coordinating projects from start to finish

Our client is looking for a Construction Estimator & Project Coordinator (Houzz Pro | Residential Construction) who can confidently manage project estimating while ensuring every project remains organized, up-to-date, and accurately maintained within their CRM.

This role is ideal for someone who understands the full construction project lifecycle and thrives in a fast-paced environment where communication, organization, and attention to detail are critical. You will become a key operational partner to the owner by managing project information, preparing estimates, coordinating suppliers and subcontractors, and ensuring projects progress smoothly from estimate to completion.

Schedule: 8:00 AM to 5:00 PM CST | Fixed schedule

Responsibilities:

Estimating

  • Prepare detailed construction estimates using AI-generated and historical takeoff data
  • Build and maintain accurate project estimates within Houzz Pro
  • Contact suppliers, lumber yards, and subcontractors to obtain pricing and quotations
  • Compare supplier pricing and coordinate material procurement
  • Assist in preparing estimates for project approvals

Project Coordination

  • Coordinate projects from estimate approval through project completion
  • Develop subcontractor scopes of work from walkthrough notes
  • Coordinate with field crews, subcontractors, suppliers, and internal stakeholders
  • Monitor project progress and proactively identify scheduling or operational issues
  • Coordinate material deliveries and supplier timelines
  • Support daily project logistics while escalating critical issues to management when necessary

CRM Management

  • Own and maintain all project information within Houzz Pro (or similar construction CRM)
  • Ensure project records remain complete, accurate, and up to date throughout the project lifecycle
  • Upload estimates, schedules, documents, communications, change orders, and project notes into the CRM
  • Maintain organized digital project files for easy access and reporting
  • Identify opportunities to improve CRM workflows and project visibility

Financial & Administrative Support

  • Track, organize, and categorize project receipts by job, cost code, change order, and date
  • Review weekly reconciliation reports and identify missing or uncategorized QuickBooks transactions
  • Prepare financial discrepancy summaries for weekly operational meetings
  • Maintain organized project documentation and subcontractor daily logs

Process Improvement

  • Develop and document Standard Operating Procedures (SOPs)
  • Create process documentation and video training materials
  • Continuously improve project workflows and operational efficiency
  • Maintain a searchable digital knowledge base of company procedures

Requirements:

  • Minimum of 3 years of experience supporting residential or commercial construction projects
  • Strong experience with construction estimating and project coordination
  • Demonstrated understanding of the complete construction project lifecycle
  • Proficiency using Houzz Pro or similar construction CRM platforms (critical requirement)
  • Experience coordinating subcontractors, suppliers, and multiple active projects simultaneously
  • Working knowledge of QuickBooks and construction-related financial processes
  • Excellent English verbal and written communication skills, with confidence speaking to US-based suppliers, vendors, and subcontractors
  • Strong organizational, multitasking, and project management skills
  • High attention to detail and ability to maintain accurate project documentation
  • Tech-savvy and comfortable learning new construction software and VoIP systems (Google Voice, Aircall, Dialpad)

Performance Expectations:

  • Independently manage multiple active construction projects with minimal supervision
  • Take ownership of CRM accuracy and project documentation from estimating through project completion
  • Proactively communicate project updates, scheduling concerns, and operational issues
  • Maintain organized project records that provide clear visibility to leadership
  • Prepare detailed financial and operational summaries for weekly management meetings
  • Continuously improve workflows that enhance project delivery and operational efficiency
