Job Description

Role: Construction Accounting & Project Coordinator

Job Type: Full-time (Remote)

Contract Type: Independent Contractor (IC)

Key Responsibilities:

Project Coordinator Support

  • Assist in creating submittal packages and Requests for Information (RFIs) for active construction projects.
  • Review subcontractor pay applications for completeness and accuracy prior to forwarding to the accounting team for processing.
  • Support general project coordination tasks as needed — keeping documentation organized and communication flowing between project and finance teams.

Compliance & Pre-Payment Verification

  • Collect and verify compliance documents before releasing subcontractor payments — including executed lien waivers and current certificates of insurance
  • Track compliance status across all active subcontractors — flagging any missing or expired documentation before payment processing proceeds
  • Maintain organized compliance records accessible to the project and accounting team at all times 

Pay App Billing & Construction Accounting 

  • Manage the pay application billing cycle end to end — coordinating between owner/client, subcontractors, and vendors to ensure timely and accurate billing.
  • Understand and differentiate between subcontractor pay applications and vendor invoices — review sub pay apps for accuracy before processing
  • Oversee Accounts Payable (AP) and Accounts Receivable (AR); perform credit card costing and expense allocation; maintain and review balance sheets

Systems & General Accounting Support 

  • Work within Sage Intacct as the primary accounting and ERP system — entering, tracking, and reconciling financial data across active projects
  • Use Procore for construction management tasks — coordinating with the ERP connector integration between Sage Intacct and Procore
  • Support general construction accounting functions as directed and adapt as the role's scope grows with the company

Qualifications:

  • Prior accounting experience with a commercial general contractor
  • Familiar with Procore and the Sage Intacct / Procore ERP integration
  • Prior remote project engineer or project coordinator experience alongside an accounting function
  • Excellent organizational and time-management abilities
  • Bluebeam experience — for PDF markup, submittal review, and construction document management
  • Strong communication and stakeholder management skills
  • Experience in remote collaboration and digital project tools is a plus
  • Able to provide 3–5 character references from similar past roles
