Job Description


Role Purpose


Reports directly to the Human Resources Head †Compensation and Benefits responsible for managing the salaries of the employees and coordination with payroll provider. Administer employee benefits programs including annual merit increase, bonuses, stock options and other related policies to ensure fairness, competitiveness, and compliance with regulations.

Prepare reports and analytics related to budget, payroll cost and benefits utilization. Furthermore, compensation and benefits supervisor is responsible for the HR procurement and updating the HRIS for data maintenance.

Key Activities


Payroll and Timekeeping

  • Prepare payroll instructions to submit to the payroll outsource provider. Ensure that necessary data are complete.
  • Review and verify timekeeping and payroll data to ensure accuracy and compliance with internal policies.
  • Facilitate employee payroll by validating timekeeping reports provided by the payroll outsource and ensure that payroll instructions are complete in the payroll register for accurate payroll processing and salary disbursement
  • Prepares payroll-related adjustments, reconciliations, and reporting.
  • Review and analyze tax and legal regulations, identify issues/implications affecting company and employees and update related payroll process.
  • Coordinates with finance and accounting teams for month-end and yearend payroll activities.
  • Implement process improvements and automation where applicable to enhance payroll efficiency.

Benefits Administration

  • Prepare the report for enrolment, renewal, deletion and administration of employee benefits programs (e.g., health insurance, life insurance, retirement leave entitlements).
  • Ensure that mandatory government contribution (SSS, PhilHealth and HDMF) are remitted on a timely manner by the payroll provider.
  • Prepares administration and coordination of claims (e.g., maternity, sickness, leave conversions)
  • Performs separation-related processes, including clearances and final benefit computation
  • Liaise with external benefits providers to address employee inquiries, claims, and escalations.
  • Lead and review annual employee performance reports and compensation review cycle of the employees and ensure that process for annual merit increase and performance bonus are properly implemented and release on a timely manner.
  • Act as the primary point of contact for compensation and benefits inquiries for Manila employees and resolve any issues that may arise.
  • Develop and deliver effective communication materials on compensation and benefits topics, including new hire orientations, benefits updates, and open enrollment periods.
  • Develop policies and procedures related to compensation and benefits.

Reports and Analytics

  • Maintain up-to-date compensation files in the HRIS and other systems, including salary information, pay grade changes, incentive eligibility, and job title adjustments. Verify that records are complete, accurate, and accessible for reporting.
  • Prepare monthly report related to payroll and employee headcount affecting costs of each department
  • Prepare recharge report for creation of billing and charging to hosted countries
  • Track and record all employee changes related to compensation, such as promotions, transfers, role adjustments, and salary increases. Ensure timely and accurate updates to maintain data integrity.
  • Prepare regular reports and analytics for leadership, including salary benchmarking, benefits usage, and cost analysis.
  • Prepare annual employee budget and cost implication in the company

Procurement

  • Manages the vendor of HR, negotiation, and contract preparation.
  • Ensure procurement policies, procedures, and relevant regulations are in complaint
  • Collaborate with internal stakeholders to understand requirements and procure necessary resources.
  • Monitor purchase orders, delivery schedules, and project milestones to ensure timely fulfillment.
  • Conducts analyzation on the procurement data to identify cost-saving opportunities and improve efficiency.
  • Monitor and perform payment processes for invoices of items/services received by HR
  • Performs other duties and responsibilities that maybe assigned from time to time.
  • Stakeholder

    • Influence others outside of own job area regarding policies, practices and procedures
    • Develop strong, trusting relationships with business leaders across DPDHL
    • Cooperate with and coordinate 3rd parties e.g. external service providers
    • Advise customers and key stakeholders on processes, systems and tools

    Skills / Qualifications

    • Education: Graduate of any four-year course.
    • Licensure and/or Certification Required: NA
    • Experience: Minimum of 5 years as compensation and benefits officer or equivalent
