Job description:
Primary: Tenant collections and balance due resolution
This is the core of this role. The majority of your time is spent here.
- Make outbound calls to tenants with outstanding balances, following our approved scripts and communication standards
- Follow up persistently via phone and email until balances are resolved, a payment arrangement is in place, or the account is escalated
- Negotiate and document payment plans with tenants within parameters set by the assigned property manager
- Maintain detailed, current notes on every tenant interaction in Rent Manager
- Track all active delinquent accounts and produce a weekly aging summary for the PM team
- Generate and send templated delinquency notices and demand letters per PM instruction
- Work directly with property managers to identify accounts that have exhausted collections options and require escalation to the eviction process
- Coordinate with the PM team to ensure all documentation is complete and accurate before any legal escalation is initiated
- Forward qualified accounts to the appropriate attorney or legal resource as directed by the assigned PM
Secondary: Property management administration
Supporting tasks that fill remaining capacity and keep the portfolio running.
- Coordinate vendor and maintenance scheduling on behalf of property managers
- File, name, and organize lease documents, compliance certificates, and inspection photos per the company's naming conventions
- Populate standard report templates using Rent Manager exports and PM-provided data
- Code and route vendor invoices to the PM approval queue; PMs retain all approval authority
- Log and close maintenance work orders in Rent Manager per PM instruction
- Receive PM-submitted site photos and generate formatted inspection reports using a standard template
- Post rent payments and update tenant ledgers in Rent Manager per PM instruction
- Collect vendor compliance documentation including W-9s, COIs, and general liability certificates
Non-negotiable skills and requirements:
- 3+ years of collections, accounts receivable, or tenant-facing property management experience
- Demonstrated ability to make high-volume outbound calls and follow up persistently without supervision
- Comfort having difficult conversations with tenants about outstanding balances in a professional, firm, and respectful manner
- Proficiency with property management software — Rent Manager experience strongly preferred; AppFolio, Yardi, or equivalent accepted
- Advanced proficiency in Microsoft 365 — Excel, Outlook, SharePoint, and Teams
- Exceptional written and spoken English — you will be the voice of the company in tenant collections calls
