The Community Manager is the heart of Uniholdings coworking space — responsible for delivering a world-class member experience while driving the commercial, operational, and people outcomes of the facility. This role owns the full lifecycle of the coworking space: from attracting and onboarding members, growing occupancy and revenue, and running seamless day-to-day operations, to building a vibrant, engaged community of freelancers, startups, and corporate clients. Beyond member-facing responsibilities, the Community Manager leads a multi-functional on-site team and holds a critical mandate to design, implement, and own Standard Operating Procedures across all facility functions — building the operational foundation that supports both excellence today and the future expansion of Uniholdings coworking portfolio.

How You'll Drive Success

Process Development & Management

  • Design, write, and implement comprehensive SOPs for all coworking space functions — including front desk operations, housekeeping protocols, security procedures, member onboarding, space booking, and incident management
  • Build and maintain an operational manual that serves as the source of truth for all on-site processes, service standards, and escalation paths
  • Conduct scheduled SOP reviews (at minimum semi-annual) to incorporate operational learnings, regulatory updates, and management directives
  • Train all direct reports on relevant SOPs; maintain training logs and certification records to ensure full team compliance
  • Identify process gaps and inefficiencies across all touchpoints; lead continuous improvement initiatives to enhance both member experience and operational productivity
  • Ensure all SOPs align with Uniholdings brand standards, health and safety requirements, and local regulatory obligations

Coworking Space Operations Management

  • Oversee the day-to-day operations of the coworking facility, ensuring all spaces — hot desks, dedicated desks, private offices, meeting rooms, event spaces, and common areas — are maintained at the highest standard of readiness and cleanliness
  • Manage space inventory, room booking systems, and seat allocation to maximize utilization and minimize conflicts
  • Coordinate with facilities management, IT/tech support, and external vendors for maintenance, repairs, and preventive upkeep of all equipment, utilities, and amenities (internet, printing, pantry, AV, etc.)
  • Enforce health, safety, and emergency response protocols; conduct regular audits and drills in coordination with security personnel
  • Manage vendor relationships and service level agreements (SLAs) for cleaning, security, utilities, and other contracted services
  • Prepare and submit daily, weekly, and monthly operational reports — including space utilization rates, maintenance logs, incident reports, and member feedback summaries — to management
  • Ensure timely renewal of permits, licenses, and compliance documentation relevant to the coworking facility

Membership Sales & Space Leasing

  • Drive membership revenue by managing the full sales cycle — from inquiry handling, space tours, and proposal preparation to contract negotiation, closing, and move-in coordination
  • Actively generate and nurture a pipeline of prospective members, including freelancers, startups, SMEs, and corporate accounts seeking satellite office solutions
  • Manage all membership tiers (hot desk, flexi, dedicated desk, private office, virtual office, day passes) and ensure accurate pricing, contract documentation, and billing
  • Handle membership renewals, upgrades, downgrades, and terminations in accordance with Uniholdings policies and service agreements
  • Coordinate with the Finance team on monthly billing, collections, and payment reconciliation; proactively manage overdue accounts
  • Track and analyze occupancy rates, conversion metrics, and revenue per available desk (RevPAD); recommend pricing adjustments and promotional strategies to optimize yield

Marketing & Community Engagement

  • Develop and execute the coworking space's marketing and awareness plan, including digital presence (Google Business, social media, online coworking directories), on-site signage, and referral programs
  • Plan, organize, and facilitate a regular calendar of community events — networking sessions, workshops, launch nights, member spotlights, and wellness activities — designed to foster engagement and attract new leads
  • Manage the coworking space's social media accounts and online listings; create content that showcases the space, community, and member success stories
  • Develop and maintain partnerships with local businesses, event organizers, startup ecosystems, and corporate partners to drive foot traffic and co-branded activations
  • Gather member feedback through surveys, one-on-ones, and community forums; translate insights into improvements in service, space design, and programming
  • Collaborate with Uniholdings central marketing team on brand campaigns, collateral production, and promotional strategies
  • Monitor competitor coworking operators in the market; provide quarterly market intelligence reports covering pricing, occupancy benchmarks, and service offerings

People Management

  • Directly lead, coach, and manage on-site staff across front desk, housekeeping, and security functions — setting clear performance expectations, conducting regular check-ins, and facilitating formal performance reviews
  • Manage scheduling, shift coverage, attendance, and deployment of on-site personnel; coordinate with agency or contractor partners for outsourced headcount
  • Identify skills gaps and recommend or deliver targeted training interventions, particularly on coworking-specific service standards, member-handling protocols, and SOP compliance
  • Foster a positive, service-first team culture that reflects Uniholdings values; recognize and reward outstanding performance to build morale and retention
  • Handle team concerns, coaching conversations, and disciplinary matters in coordination with the HR department; adhere to the company's Code of Discipline
  • artner with HR Talent Acquisition for the recruitment, selection, and onboarding of new on-site hires

Financial & Administrative Oversight

  • Manage the coworking space's operating budget; monitor actual versus plan variances monthly and implement corrective actions as needed
  • Review and approve operational expenditures within authorized limits; prepare cost justifications and capital expenditure requests for management approval
  • Ensure accuracy and completeness of all member contracts, lease agreements, billing records, and collections documentation
  • repare monthly management reports covering membership count and churn, space utilization, collections performance, NPS/CSAT, event highlights, and operational issues
  • Maintain organized records of permits, insurance certificates, vendor contracts, and regulatory filings for the facility

The Expertise You Bring

Education

  • Bachelor's degree in Business Administration, Hospitality Management, Property/Real Estate Management, Marketing, or a related field

Experience

  • At least 2 years of managerial or team management experience, with direct accountability for service quality and people performance
  • Proven track record in membership sales, space leasing, or B2B account management is a strong advantage
  • Experience in designing and documenting SOPs, operational manuals, or service standards is highly preferred

Skills & Competencies

  • Highly organized and detail-oriented; able to juggle concurrent operational, commercial, and people priorities without dropping the ball
  • Proficiency in MS Office Suite; familiarity with coworking management platforms (e.g., OfficeRnD, Nexudus, Cobot) or property management software is an advantage
  • Creative and resourceful in designing community programming, marketing activations, and member engagement initiatives
  • Analytical mindset; comfortable working with occupancy dashboards, revenue data, and member satisfaction metrics
  • High integrity, professionalism, and discretion in handling member information and confidential business matters
