Job Summary:
We are looking for an experienced Closing Assistant to support the mortgage loan closing process for a U.S.-based lending team. The ideal candidate has hands-on experience with Encompass (non-negotiable) and a strong understanding of mortgage disclosures, loan documentation, escrow preparation, and closing compliance. This role requires excellent attention to detail, strong communication skills, and the ability to work efficiently in a fast-paced environment while meeting strict deadlines.
Key Responsibilities:
- Update loan file fees based on preliminary Closing Disclosures provided by title companies.
- Review and interpret property tax cards and tax certificates.
- Update property tax due dates for escrow account preparation.
- Calculate and determine tax prorations accurately.
- Prepare, generate, and send Loan Estimates (LE) and Closing Disclosures (CD).
- Review loan files against supporting documentation to ensure accuracy, completeness, and compliance before closing.
- Maintain accurate loan records within Encompass and ensure all required documentation is complete.
- Communicate effectively with internal teams, title companies, loan officers, and other external partners to facilitate timely loan closings.
- Troubleshoot file issues, resolve discrepancies, and proactively identify solutions.
- Ensure all closing documents comply with company policies and regulatory requirements.
- Prioritize multiple loan files while meeting tight deadlines and maintaining a high level of accuracy.
Required Experience:
- Minimum 2 years of experience as a Closing Assistant supporting local or U.S.-based mortgage/home loan clients.
- Hands-on experience with Encompass is required (non-negotiable).
Proven experience with all of the following:
- Updating loan file fees based on preliminary Closing Disclosures.
- Reading and interpreting property tax cards and tax certificates.
- Updating tax due dates for escrow account preparation.
- Determining tax prorations.
- Preparing and sending Loan Estimates (LE) and Closing Disclosures (CD).
- Reviewing loan files against supporting documentation for accuracy and completeness.
