Clio Billing Specialist & Legal Admin

Job Type: Full-Time

Work Hours: Monday to Friday, 8:00 AM to 5:00 PM Pacific Time, with a 1-hour break

Salary: $1,100 per month

Job Overview:

We are seeking a highly organized, detail-oriented, and proactive Remote Executive + Legal Administrative Assistant to support a fast-paced corporate bankruptcy law practice. This fully remote role combines executive support for the Managing Partner with legal administrative, billing, and case coordination responsibilities.

The ideal candidate will be responsible for managing executive and personal priorities, maintaining attorney and firm calendars, overseeing docket and deadline tracking, supporting Clio billing workflows, coordinating legal documentation, and ensuring operational efficiency across the firm. This role requires someone who thrives in a fast-paced legal environment, communicates professionally, manages multiple priorities with accuracy, and works effectively with attorneys, staff, clients, and vendors.

Key Responsibilities:

  • Executive + Personal Support
  • Manage the Managing Partner's calendar, including scheduling, confirmations, reminders, priority planning, and personal/family obligations
  • Coordinate personal logistics such as appointments, travel planning, reservations, and vendor coordination
  • Draft and send emails, messages, and follow-up communications as needed
  • Organize inbox priorities and manage confidential communications with discretion
  • Attend meetings and calls, take detailed notes, and convert discussions into actionable task lists
  • Legal Administrative + Case Support
  • Maintain firm and attorney calendars, including legal calendaring workflows, deadline tracking, hearing schedules, and case-related updates
  • Review docket emails, court notices, objections, hearings, and legal correspondence to accurately calendar deadlines and case events
  • Assign the appropriate attorney to hearings, objections, and legal matters based on scheduling and case requirements
  • Support bankruptcy case administration, including document organization, workflow coordination, and deadline monitoring
  • Draft, format, revise, and organize legal documents, correspondence, pleadings, and case-related materials based on attorney direction
  • Organize and maintain electronic case files using Clio, iManage, and other legal systems
  • Ensure legal documentation is properly tracked, updated, and accessible
  • Billing + Financial Coordination
  • Manage and process client billing using Clio Manage, ensuring accuracy, timeliness, and compliance with firm policies
  • Handle billing inquiries, invoice follow-ups, payment coordination, and client account communications
  • Monitor billing records and assist in maintaining accurate financial documentation and reporting
  • Track time entries, billing tasks, and billing workflow follow-ups
  • Administrative + Team Coordination
  • Track assignments across the team and follow through to completion
  • Support day-to-day law firm administrative operations, including filing, data entry, and record maintenance
  • Collaborate with attorneys, staff, clients, and vendors professionally
  • Provide support or guidance to team members related to Clio workflows when needed

Required Skills & Qualifications:

  • Minimum 2–5 years of experience in a legal administrative, executive assistant, legal billing, or similar law firm support role
  • Strong hands-on experience with Clio Manage, including billing workflows
  • Experience with legal calendaring, docket management, deadline tracking, and hearing scheduling
  • Experience supporting corporate bankruptcy law matters
  • Experience reviewing court notices, objections, hearings, and legal correspondence to manage deadlines accurately
  • Experience assigning attorneys based on scheduling and case requirements
  • Experience drafting, formatting, and revising legal documents and correspondence
  • Prior experience working in a remote legal support environment
  • Experience with iManage or similar legal document management systems
  • Strong written and verbal communication skills with professional phone etiquette
  • Excellent organizational skills, accuracy, and attention to detail
  • Ability to manage multiple shifting priorities in a fast-paced environment
  • Proficiency with Google Workspace, Microsoft Office, Zoom/Teams, Monday.com, and related tools
  • Ability to maintain confidentiality and handle sensitive information professionally
  • Reliable availability during Pacific Time business hours
  • Quiet home workspace, reliable computer, and high-speed internet

Preferred Experience:

  • Experience supporting a Managing Partner or law firm executive
  • Experience in legal billing and financial reporting
  • Experience training or supporting team members on Clio workflows
  • Background in corporate bankruptcy law firm operations
  • Familiarity with legal case management, court calendaring, and financial reporting systems

Note: An NBI or police clearance will be required upon acceptance of the job offer.
