TALENT POOLING: Client Services & Operations Coordinator (Photography & Video)

Growth Partner Associates is building a pipeline of exceptional talent for a growing Australian creative business. We are currently accepting expressions of interest from candidates who would like to be considered for future opportunities.

Role Purpose

 

The Client Services & Operations Coordinator (Photography & Video) plays a critical role in supporting the day-to-day operations of the business by managing client enquiries, coordinating bookings, handling administrative tasks, and assisting with basic content editing.

 

This role is designed to free up the founders and creative team to focus on client relationships, creative direction, and business growth, while ensuring a seamless, high-quality client experience from initial enquiry through to final delivery.

 

Key Responsibilities

 

1. Client Enquiries & Communication

  • Respond promptly to inbound enquiries via email, website forms, and phone
  • Qualify leads and gather key event or project details
  • Prepare and send quotes, proposals, and follow-ups
  • Maintain a warm, friendly, and professional tone aligned with the brand
  • Ensure all client communication is organised, timely, and consistent

 

2. Booking & Scheduling Coordination

  • Manage bookings for photography, videography, and photo magnet services
  • Coordinate calendars for photographers, assistants, and events
  • Confirm event logistics, timelines, and client requirements
  • Send booking confirmations, reminders, and pre-event checklists

 

3. Administrative Support

  • Maintain CRM and client records with accurate, up-to-date information
  • Organise contracts, invoices, and documentation
  • Track project status from enquiry through to delivery
  • Support internal systems and workflow improvements

 

4. Project & Delivery Coordination

  • Liaise with photographers and editors to ensure timely delivery of photos/videos
  • Organise file delivery (galleries, folders, links) for clients
  • Ensure deliverables meet client expectations and brand standards
  • Assist in managing multiple projects simultaneously

 

5. Basic Video & Content Editing Support

  • Assist with simple video editing (cutting clips, formatting for social media, basic enhancements)
  • Prepare content for client delivery or marketing use
  • Support the team in content organisation and file management

 

6. Customer Experience & Retention

  • Ensure a smooth, enjoyable client journey from first contact to post-event follow-up
  • Gather client feedback and testimonials
  • Identify opportunities to upsell services (e.g. photo magnets, video packages)
  • Contribute to creating a raving fan experience for every client

 

 

Skills & Experience Required

 

Essential:

  • Strong written and verbal communication skills
  • Excellent organisational and time management abilities
  • Experience in administrative, coordination, or client service roles
  • Ability to multitask and manage multiple projects simultaneously
  • High attention to detail and follow-through
  • Tech-savvy with ability to learn new systems quickly

 

Preferred:

  • Experience in creative, events, or photography/videography industries
  • Basic video editing skills (CapCut preferred, experience in other tools is also acceptable)
  • Familiarity with CRM systems (i.e. Go High Level), scheduling tools, and cloud storage platforms
  • Understanding of social media content formats
