What You'll Do
- Prepare and process financial planning documentation, including SOAs , account setup, investment trades, and supporting forms.
- Maintain accurate client records by preparing, scanning, uploading, and managing documentation across internal systems.
- Update and manage CRM (Salesforce), ensuring data accuracy, completeness, and compliance with AML requirements.
- Produce and distribute client reports, including quarterly, ad-hoc, and End of Financial Year (EOFY) reporting.
- Support client portal access (MyProsperity), including document uploads and basic troubleshooting for clients.
- Act as the first point of contact for clients, managing inbound calls and emails professionally and responding within the 24-hour SLA.
- Handle and triage client enquiries, ensuring prompt resolution, appropriate escalation, and consistent follow-up.
- Coordinate client appointments and maintain adviser calendars to support smooth daily operations.
- Collaborate with advisers and internal teams, manage task priorities effectively, and proactively resolve client-related issues.
Key Criteria
- At least 3 years of experience in financial planning administrator, financial planning associate, customer service positions in financial services environment.
- An understanding of the Financial Planning processes would be an added advantage, such as; Superannuation, Investments, Gearing, Retirement income, Tax minimization strategies, debt reduction strategies and Personal & Key Man Insurance.
- Strong administrative skills with attention to detail and accuracy.
- Proficiency in Microsoft Excel, Word, and Outlook.
- Excellent communication skills and ability to work independently.
- Eagerness to learn and contribute to a collaborative team environment.
Work Set Up
- Manila (BGC, Taguig): Australian hours (6.00 AM – 3.00 PM PHT), full time onsite in the probation, then transition into hybrid set up (4 days onsite, 1 day work from home)
