About the Job

As our Client Relations & Sales Coordinator, you are the face and the engine of our studio. You don't just check people in; you build relationships that drive the business forward. You will be responsible for the entire client lifecycle—from the first inquiry on Instagram or phone, to the first trial class, to the long-term membership renewal.

Duties & Responsibilities

1. Revenue & Sales Growth (The Priority)

  • Lead Conversion: Proactively follow up with inquiries and walk-ins to convert them into trial sessions and memberships.
  • Membership Management: Actively track package expiry dates and usage patterns to initiate renewal conversations before the client's credit runs out.
  • Upselling: Recommend specialized workshops, private sessions, or retail products based on the client's fitness goals.
  • Retention: Identify at-risk clients who haven't visited in a while and reach out to bring them back to the studio.

2. Client Experience & Front Desk Excellence

  • The Fit to Live Welcome: Provide a high-energy, premium greeting for every client, ensuring they feel known and valued.
  • Smart Scheduling: Manage the booking system to maximize class occupancy and minimize dead air in the studio schedule.
  • Conflict Resolution: Handle scheduling mishaps or client complaints with grace, ensuring every person leaves the studio happier than they arrived.

3. Operations & Studio Vibe

  • Administrative Precision: Handle payments, POS transactions, and daily cash reporting with 100% accuracy (without the heavy lifting of full bookkeeping).
  • Studio Presentation: Ensure the lobby and front desk are Instagram-ready at all times—clean, organized, and welcoming.
  • Marketing Support: Assist the Marketing Team with on-site events, gathering client testimonials, or capturing quick vibe content for social media.

Requirements:

  • The Personality: You are a people person who genuinely enjoys conversation and has a service-first mindset.
  • Sales Savvy: At least 1 year of experience in sales, hospitality, or high-end retail. You aren't afraid to ask for the sale or suggest an upgrade.
  • Tech-Fluent: Fast learner on booking software (e.g., Mindbody, Momence, or similar) and proficient in basic Google Workspace/Excel.
  • Detail-Oriented: You notice when a client's package is about to expire or when the lobby needs a quick tidy-up without being told.
  • Flexibility: Willingness to work studio hours, which include early mornings, evenings, or weekends.
