Client & Community Coordinator

Help us keep client communication, referrals, and administrative workflows organized and moving forward. As a Client & Community Coordinator, you'll support client coordination, CRM management, invoice follow-up, facility research, and organized day-to-day operations.

What you'll do:
- Client & referral communication: Conduct follow-up calls and emails with clients, families, facilities, and referral partners, ensuring timely and professional communication.
- Inquiry follow-up: Follow up on client and referral inquiries, including after-hours inquiries by the next business day.
- CRM management: Maintain accurate and current information within the company CRM system, including notes, updates, and documentation.
- Facility research: Research and update information regarding board and care homes, assisted living facilities, and referral resources.
- Invoice tracking: Assist with invoice tracking, follow up on past-due balances, and help maintain organized payment-related records.
- Administrative coordination: Provide reminders for follow-ups, renewals, deadlines, and pending tasks to keep workflows moving smoothly.
- Team support & handoffs: Attend team meetings, communicate urgent or pending tasks, and ensure proper handoff of responsibilities before planned absences or time off.
- Confidentiality & compliance: Protect confidential client, financial, facility, and company information while following HIPAA guidelines and company privacy policies.
What you'll bring:
- Experience in administrative support, client coordination, customer service, healthcare coordination, senior care, or a related role.
- Comfort using CRM systems, email, calendars, phone systems, and remote work tools.
- Strong written and verbal communication skills with a professional and compassionate approach.
- Excellent organization, follow-through, and attention to detail.
- Ability to manage multiple follow-ups, deadlines, and documentation requirements.
- Reliable internet access and the ability to work independently in a remote environment.
- Strong discretion and understanding of confidentiality when handling sensitive client or healthcare-related information.
