Job Description

Europa Yachts is a yacht dealership and charter company in the Philippines representing internationally recognized boating brands. We are looking for a highly organized and proactive Charter Adminstration Officer to support our yacht charter operations.

In this role, you will coordinate with clients, yacht crews, and internal teams to help ensure smooth charter operations from booking through completion. You will also assist with administrative documentation, scheduling, client communications, and financial tracking while maintaining a high standard of professionalism and customer service.

Key Responsibilities

  • Respond promptly and professionally to client inquiries regarding yacht charters.
  • Coordinate with clients, yacht crews, suppliers, and internal teams to support charter operations.
  • Manage booking calendars, client records, and operational information using company systems (including Monday.com).
  • Prepare and maintain charter agreements, guest preference forms, and other operational documents.
  • Process billing, monitor payments, and maintain accurate records of charter-related expenses and revolving funds.
  • Prepare monthly operational and financial reports.
  • Assist with concierge arrangements and other administrative requirements related to charter bookings.

Qualifications

  • Bachelor's degree in Business Administration, Hospitality Management, Tourism, or a related field is preferred.
  • At least 2 years of experience in administrative, hospitality, tourism, customer service, events, or operations roles.
  • Strong written and verbal communication skills in English.
  • Excellent organizational skills with the ability to manage multiple priorities and meet deadlines.
  • Able to work independently while collaborating effectively with different teams.
  • Proficient in Microsoft Office applications; experience with project management platforms such as Monday.com and design software Canva is an advantage.
  • Experience with basic bookkeeping or financial record-keeping is preferred.

Work Schedule

  • Monday to Friday, 9:00 AM to 5:00 PM.
  • This is an on-site position based in our Bonifacio Global City (BGC) office.
  • Occasional availability during weekends or holidays may be required to support scheduled yacht charters or urgent operational requirements.
  • Leave requests are coordinated with operational schedules and team coverage.
