ACCOUNTING & FINANCIAL OPERATIONS SPECIALIST

Full-Time | Remote (Philippines) | US Eastern Time Zone

ABOUT THE ROLE

We are looking for a detail-oriented Accounting & Financial Operations Specialist to join a growing, US-based property restoration and remediation company. This is a full-time, dedicated role supporting the finance and operations team from the Philippines during US Eastern Time Zone business hours.

You will own three core areas: managing employee expense and referral fee tracking, keeping the books clean in QuickBooks Online, and analyzing the profitability of individual restoration projects through the company's service management software. WHAT YOU WILL DO

Employee Expense & Referral Tracking

Manage and process employee reimbursements, ensuring timely and accurate payments.

Track specialized payments such as referral fees, commissions, and bonuses, ensuring proper categorization for tax and reporting purposes.

Maintain organized records with supporting documentation and prepare expense summaries for payroll and year-end tax preparation.

QuickBooks Online Mastery

Reconcile credit card statements, bank accounts, and vendor accounts in QBO on a regular basis.

Reclassify and recategorize transactions to ensure accurate chart of accounts and financial reporting.

Maintain a clear audit log of all changes, adjustments, and journal entries to ensure data integrity.

Generate financial reports (P&L, balance sheets, cash flow) and support month-end and year-end close processes.

Identify and resolve discrepancies, duplicate entries, and uncategorized transactions proactively.

Job-Level Profitability Analysis

Analyze the profitability of individual remediation projects using the company's service management software.

Review job costs (labor, materials, subcontractors, overhead) against revenue to determine project margins.

Identify trends in profitable vs. underperforming job types and present findings to management.

Cross-reference job data with QuickBooks records to ensure consistency across systems.

Provide regular profitability reports and dashboards to support strategic decision-making.

WHO YOU ARE

You are a detail-oriented accounting professional who takes pride in clean books and accurate records. You can reconcile accounts in your sleep, you catch discrepancies others miss, and you understand how to turn financial data into insights that help a business grow. You work independently, meet deadlines without being chased, and communicate clearly when something needs attention.

MUST HAVE

At least 3 years of experience in bookkeeping, accounting operations, or a related financial role.

Advanced proficiency in QuickBooks Online, including reconciliations, journal entries, reclassifications, and report generation. This is a core requirement.

Experience managing employee expense reimbursements and tracking specialized payments (referral fees, commissions) for tax purposes.

Strong understanding of accounting fundamentals: debits/credits, chart of accounts, accrual vs. cash basis, financial statements.

Experience with job costing or project-level profitability analysis, ideally in construction, restoration, or services.

Excellent attention to detail and ability to maintain audit-ready records.

Strong analytical skills with the ability to identify trends and discrepancies.

Excellent written and verbal English communication skills.

Self-motivated and able to work independently with minimal supervision.

Reliable high-speed internet and a dedicated, quiet home office setup.

Willingness to work full US Eastern Time Zone hours (40-45 hours per week).

NICE TO HAVE

Experience with service management or job costing software (e.g., Xcelerate, ServiceTitan, or similar).

Background in the property restoration, construction, or home services industry.

Experience supporting US-based companies with tax categorization and compliance.

QuickBooks Online certification (ProAdvisor or equivalent).

Familiarity with payroll processes and coordination with payroll providers.

Experience with data visualization or financial dashboards (Excel, Google Sheets, Tableau).

IMPORTANT TO KNOW

Full-Time and Dedicated: This is an exclusive, full-time position. You must work only for this company and may not hold any other employment, freelance, or contract work at any time. Candidates currently holding multiple jobs will not be considered.

Time Tracking: Time-tracking software will be installed from Day 1 as part of standard company policy.

QuickBooks Online Proficiency is Required: If you do not have hands-on, advanced QBO experience, please do not apply. Basic familiarity is not sufficient for this role.
