Product Administrator

Day Shift | Full-Time | Onsite (Makati or Iloilo)

As part of a rapidly expanding online division, you will help provide post-sales support to both new and existing customers while coordinating order management with internal teams.

In this role, you will assist the Product Team in overseeing end-to-end processes across various product lines. You will play an important role in maintaining accurate product data, coordinating with suppliers, and ensuring timely product launches. This position involves close collaboration with both internal stakeholders and external partners to keep operations efficient, meet deadlines, and maintain essential reports. It is well-suited for someone who thrives in a dynamic environment and has strong administrative skills, particularly in advanced Excel.

Key Responsibilities
  • Assist in managing the full product lifecycle to ensure deadlines and launch schedules are met
  • Liaise with suppliers regarding product specifications, pricing, samples, and production timelines
  • Create and maintain accurate product data templates within ERP systems (e.g., MYOB Advanced)
  • Handle product data requirements for key clients
  • Track and manage product samples from request to receipt
  • Process and follow up on supplier claims to ensure resolution
  • Monitor supplier production schedules in line with shipping timelines
  • Coordinate with internal teams and external partners to ensure smooth product flow
  • Prepare reports, product updates, and relevant documentation
  • Manage purchase orders, including creation, updates, and tracking
  • Support buyers during product range reviews and implementation
  • Conduct competitor pricing analysis and gather supplier quotations
  • Help resolve issues related to product delivery and operational processes
  • Participate in team meetings and communicate updates to stakeholders

Qualifications and Skills
  • Minimum of 3 years experience in product administration or a related role
  • Strong written and verbal communication skills
  • Excellent attention to detail and organizational ability
  • Ability to multitask and meet deadlines in a fast-paced setting
  • Effective stakeholder coordination and communication skills
  • Proficiency in Microsoft Office (Outlook, Word, PowerPoint)
  • Advanced Excel skills (essential for the role)
  • Experience handling and analyzing large datasets
  • Skilled in creating and maintaining reports, templates, and trackers
  • Familiarity with formulas, data validation, and reporting tools
  • Experience using ERP systems such as MYOB Advanced or similar
  • Strong problem-solving abilities and operational awareness
  • Comfortable working with international suppliers, particularly in Asia
  • Good understanding of commercial concepts such as budgets and margins
