Administer and coordinate all secretarial duties in a professional and courteous manner. Assist the department to develop, maintain or improve effective communication on incoming and outgoing information within the department and supporting departments.
Organize a file for each section within the department.
Keep and file correctly all issues, problems, Standing Operational Procedures (SOP) and constant updating the files.
Organize departmental meetings on monthly basis. Take down minutes of the meeting and distribute the action plan to all concerned.
Maintains and up-to-date filing system for easy reference.
Handles confidential and classified material and ensures confidentiality at all times and professional office etiquette and discretion.
Establishes and maintains professionally efficient and effective communication within the department and supporting departments.
Obtains signature or approval from before communicating or distributing any paperwork or information.
Remind staff of meetings and any short notice changes received from other departments.
Receive and transfer phone calls that project a professional and efficient image of the department.
Adjusts scheduling appropriately in order to attend mandatory meetings.
Continually maintains and updates daily and weekly reports in a timely manner.
Qualifications
Minimum of two years within a similar field, or hospitality industry.
Of good character, confident and possess good communication skills. Foreign languages or dialects preferable.
Team player.
Computer literate.
Able to work with minimum supervision.
Must be flexible to work varying shifts and time schedules.
