Job Description

Position Overview The Case Manager plays a critical role in ensuring the integrity, organization, and efficient progression of all client matters. This position is responsible for maintaining accurate and complete case files, managing documents and discovery, preparing trial and evidentiary materials, and supporting attorneys by ensuring that internal processes, filing requirements, and firm standards are consistently met.

This role requires exceptional attention to detail, advanced technical proficiency, and the ability to manage complex case documentation in a fast-paced legal environment.

Key Responsibilities - Audit, maintain, and ensure the accuracy and integrity of all client matter files within Clio

  • Ensure all case records are complete, properly named, indexed, and stored in accordance with firm standards
  • Generate, finalize, and manage document templates and legal drafts as directed
  • Prepare, maintain, and update document indexes and case summaries
  • Organize, manage, and maintain discovery materials using Adobe and digital document management tools
  • Prepare evidence binders, trial exhibits, and hearing materials according to attorney instructions
  • Ensure timely filing of court documents and compliance with procedural deadlines
  • Coordinate case documentation to support efficient case progression and internal workflow management
  • Identify and proactively resolve gaps or deficiencies in case files or documentation
  • Maintain adherence to firm processes, quality standards, and confidentiality requirements
  • Support continuous improvement of internal systems and documentation practices

Required Qualifications - 3-5 years of experience in a legal case management, litigation support, or similar role

  • Advanced proficiency in Microsoft Word and Microsoft 365
  • Advanced proficiency in Clio (required)
  • Strong proficiency with Adobe, including discovery organization and document management
  • Demonstrated experience organizing large volumes of records and discovery
  • Exceptional attention to detail and document accuracy
  • Strong technical aptitude and comfort working across multiple legal technology platforms
  • Ability to manage deadlines and prioritize tasks effectively
  • Professional judgment and discretion when handling confidential materials

Work Environment & Expectations - Full-time, in-office position

  • Standard business hours: 8:00 a.m. - 5:00 p.m., Monday through Friday
  • High standards for accuracy, organization, and accountability
  • Integral role in maintaining firm efficiency and legal compliance
