Qualifications

  • 3 to 5 years of experience in a scheduling role within a home care, healthcare, logistics, or a similar service environment
  • Good working knowledge of IT systems, including Microsoft Office and CRM software, with the ability to learn and adopt new technologies
  • Strong virtual communication skills with a highly resilient and positive approach
  • Excellent organizational and prioritization skills, with the ability to work accurately in a remote environment
  • Strong attention to detail with the ability to multitask effectively
  • Logical and analytical thinking, with the ability to work independently and meet deadlines

Responsibilities

Scheduling

  • Support capacity planning for new and prospective clients.
  • Develop efficient schedules that balance client needs and Care Professional availability.
  • Prepare schedules while considering travel time, holidays, training, and cancellations.
  • Maintain consistency and continuity by matching Care Professionals with clients based on competencies and training requirements.
  • Schedule clients with the same Care Professional at consistent times whenever possible.
  • Monitor scheduling pressure points and communicate staffing requirements to the recruitment team.
  • Perform daily reconciliation of completed care visits.
  • Arrange schedule coverage for approved annual leave.
  • Maintain accurate call templates for Care Professionals and update them whenever changes occur.
  • Verify daily that all scheduled calls are covered and escalate any issues promptly.

Auditing

  • Complete shadow task monitoring and competency checks.
  • Support administrative activities for task and care audits by reviewing the completeness and accuracy of visit notes.
  • Assist with E/Mar medication audits by checking compliance with required standards and reporting errors or recurring trends.
  • Review records for inconsistencies, incomplete tasks, and documentation gaps, and assist with reporting findings.
  • Communicate with the UK team through Microsoft Teams chat and video calls.
  • Collaborate with the care team to ensure audit documentation remains accurate, complete, and up to date.

Systems and Communication

  • Review People Planner events daily and flag urgent items requiring immediate action.
  • Process non-urgent Care Professional requests from the IQ Timecard system and record them in People Planner.
  • Review on-call voicemail requests, log them in People Planner, and escalate urgent concerns to the UK care team.
  • Provide Care Professionals with timely updates on the status of their requests.
  • Update care plans in the IQ Timecard system with temporary or permanent medication changes.
  • Identify and follow up on outstanding client documentation, including powers of attorney and medical summaries.
  • Support the Care Management team by contacting GP practices, pharmacies, and hospitals to obtain updates or resolve client-related issues, then communicate outcomes to relevant stakeholders.
  • Manage the information inbox in collaboration with onshore team members.
