Role Description

The Executive Assistant to the Chief Executive Officer is a full-time remote role responsible for managing the CEO's day-to-day operations, including scheduling, diary management, expense reporting, and general executive support. The role requires strong prioritization skills, attention to detail, and the ability to coordinate effectively with internal and external stakeholders.

This role will also support the Director of an ongoing strategic project, focusing on coordination, follow-ups, documentation, and execution support.

Qualifications & Requirements

- 8+ years of Executive Assistant experience supporting senior leadership with complex calendars and priorities

- Strong ability to anticipate needs, streamline workflows, and manage cross-functional coordination

- Excellent written and verbal communication skills with strong stakeholder management ability

- Highly organized, detail-oriented, and able to manage multiple priorities under tight deadlines

- Proficient in productivity tools for scheduling, documentation, and reporting

- Strong proficiency in AI tools and automation, particularly using Claude for workflow optimization and reporting

- Must be based in the Philippines

- Bachelor's degree required

- Strong AI and automation capability (especially Claude for workflow optimization and reporting)

- Reliable high-speed internet connection (must have)

- Backup power supply (must have)

- Fully functional professional home office setup (must have)

- Proficiency with Asana, Zoom, Slack, Google Workspace, HubSpot, Microsoft Office, and AI/automation tools

- Moonlighting or holding multiple jobs simultaneously is strictly not allowed

Key Responsibilities

Executive Support

- Manage and organize the CEO's inbox, including prioritization and responses

- Coordinate calendar management and scheduling of meetings

- Handle follow-ups with stakeholders to ensure timely execution

- Arrange domestic and international travel, including full itinerary coordination

Project Support

- Support the Director of an ongoing project through coordination and tracking of deliverables

- Assist with documentation, reporting, and data organization

- Maintain and improve internal documentation systems

- Conduct light research to support decision-making and operations

- Assist in preparing presentations and supporting materials

Communication & Coordination

- Act as a key point of contact between the CEO and stakeholders, ensuring professionalism and confidentiality

- Support cross-functional coordination across a remote team

Position Details

  • Type: Independent Contractor
  • Schedule: Monday to Friday, 40 hours per week (7:30 AM – 4:30 PM Pacific Time)
