Job Description

The opportunity

CW Systems supplies shutters, blinds, awnings, curtains and motorisation across Australia and New Zealand. Behind that sits a connected technology stack our sales, customer care, operations and technology teams rely on every day.

We're looking for a Business Systems & AI Administrator, working remotely from the Philippines, to take ownership of that stack. This is a hands on role for someone who enjoys keeping systems reliable and secure, and who gets genuine satisfaction from finding the manual process nobody has questioned in three years and automating it out of existence.

You'll report to the Technology Team and work directly with stakeholders across every department in Australia. There's real scope here to shape how we use technology, including AI, over the next few years.

What you'll be responsible for:

Business systems administration

Administer, configure and maintain NetSuite, HubSpot, Zendesk, MaxOptra, Microsoft 365 and Strety. Manage users, security roles, permissions and licences. Monitor system health and availability, coordinate upgrades and releases, and keep documentation current. You'll be the first internal point of contact for business application support.

System connections and automation

Design and maintain connections between our applications using Celigo, APIs, web services and Power Automate. Monitor data flow, resolve sync failures before anyone notices them, and find manual processes across the business worth automating.

Development and technical solutions

Build and maintain custom solutions using SuiteScript, SuiteFlow, SuiteTalk, REST APIs and the Power Platform. Design custom workflows, forms, dashboards and reporting solutions, and contribute to technical design for new initiatives.

Artificial intelligence and innovation

Administer Microsoft Copilot, Anthropic Claude and the AI platforms we adopt next. Work with department leaders to identify practical use cases, then design, test and deploy AI powered workflows and assistants. Contribute to our AI governance and security framework, build training material, and track adoption and return.

Reporting, analytics and data

Maintain data quality across connected systems, build operational and executive dashboards, run data quality audits, and establish master data governance for customers, products, suppliers and operational records.

Security, compliance and risk

Manage access controls to company security standards, monitor for risks and unauthorised activity, support data protection and privacy obligations, and coordinate backup and recovery for business applications.

User support, training and stakeholder engagement

Provide second level support, troubleshoot with users across departments, deliver training that lifts system adoption, and support onboarding and offboarding access.

Project delivery and continuous improvement

Lead technology projects across systems, automation and AI. Gather requirements, deliver practical solutions, report progress, and contribute to our long term technology roadmap.

What you'll bring

  • Minimum 3 years experience administering enterprise business systems
  • Experience with ERP, CRM, Helpdesk or Microsoft ecosystem platforms
  • Experience building or supporting connections between systems
  • Experience with APIs, automation tools or workflow platforms
  • Strong analytical and troubleshooting skills
  • Experience creating reports, dashboards and business insights
  • Excellent written and verbal English, comfortable dealing directly with Australian stakeholders at all levels

Highly desirable

  • NetSuite administration or development experience
  • SuiteScript, SuiteFlow and SuiteTalk experience
  • Celigo experience
  • HubSpot, Zendesk or Microsoft 365 administration experience
  • Power Platform experience
  • Microsoft Copilot, Claude or enterprise AI implementation experience
  • Azure or cloud platform experience
  • Exposure to software development, DevOps or version control practices
  • Prior experience working remotely with an Australian or offshore client business

The practical details

  • Fully remote, based anywhere in the Philippines
  • Contract engagement, direct with CW Systems
  • Core hours overlapping Australian Eastern Standard Time
  • A reliable home internet connection and a quiet, dedicated work space are required
  • Regular video contact with the Technology Team, including a weekly team meeting and a fortnightly one on one with your manager
