Job Description

We're looking for an exceptional Business Operations & Systems Manager to become a key part of our leadership team.

This role sits at the centre of a fast-growing group of businesses spanning Marketing, Recruitment, Strategic Growth Consulting and Technology.

You'll work directly with our CEO and leadership team to drive accountability, operational

excellence, project execution and systems discipline across the organisation. If you're looking for a traditional admin role, this role is not for you.

Key Responsibilities

EOS & Business Rhythm Management

  • Coordinate EOS meeting cadence
  • Prepare agendas and meeting packs
  • Record decisions and actions
  • Follow up on accountability items
  • Support quarterly planning and annual planning activities

Meeting Facilitation & Action Management

  • Attend leadership meetings
  • Capture actions and decisions
  • Monitor completion of actions
  • Escalate roadblocks and delays

ClickUp Governance & Utilisation Management

  • Monitor daily time tracking compliance across all team members
  • Ensure timesheets are completed accurately and on time
  • Identify missing or incomplete time entries
  • Follow up with team members regarding outstanding timesheets
  • Maintain ClickUp task hygiene standards
  • Monitor overdue tasks and projects
  • Escalate project bottlenecks and resource constraints
  • Produce weekly utilisation and capacity reporting
  • Identify underutilisation and overutilisation risks
  • Support leadership with resource planning insights
  • Ensure SOPs and workflows remain documented and maintained

Strategy Project Coordination

  • Coordinate client interviews
  • Manage audit schedules
  • Support strategic workshops
  • Track project milestones and deliverables

Team Onboarding & Offboarding

  • Manage onboarding workflows
  • Coordinate system access
  • Ensure smooth transitions for new starters and departures

Google Workspace & Microsoft 365 Administration

  • User account administration
  • Security and access management
  • Licence management
  • Shared drive administration

NPS Program Management

  • Coordinate client feedback programs
  • Track responses
  • Escalate issues and opportunities
  • Produce monthly reporting

Operational Project Coordination

  • Monitor key business initiatives
  • Coordinate stakeholders
  • Maintain visibility across projects
  • Produce progress reporting
  • Drive accountability across teams

You are:

Essential Experience

  • 5+ years in Operations Management, Project Coordination, PMO, Executive Support
  • or Business Operations
  • Experience supporting executives and leadership teams
  • Strong project coordination experience
  • Strong Microsoft 365 and Google Workspace administration skills
  • Experience working with remote teams
  • Excellent English communication skills
