Job Description

We're looking for a highly organized, proactive Project & Operations Manager to help keep a fast-moving business moving.

This person will sit at the intersection of project management, new product development, wholesale operations, and supply chain operations, partnering closely with the leadership team and cross-functional partners to turn conversations and decisions into action.

The simplest way to describe the role: move initiatives from discussion to completion, while maintaining the structure and documentation needed to keep the business organized.

You'll make sure owners know what they owe and by when, follow up before things stall, identify blockers and risks, update the appropriate trackers, organize documentation, and close the loop once something is complete.

This is not a role for someone who waits to be assigned every next step. We're looking for someone who naturally asks: What needs to happen next Who owns it What's blocking it And what needs to be documented before we move on

Because this role supports several areas of the business, priorities will evolve based on company needs. The ability to distinguish between what is urgent, what is important, and what can wait will be critical.

WHAT YOU'LL OWN

General Project Management and Follow-Through

  • Build and maintain project plans, workback schedules, milestones, owners, dependencies, and deadlines across priority initiatives.
  • Turn meetings and conversations into clear action items and proactively follow up with internal and external partners to keep work moving.
  • Identify project risks, missing information, unclear ownership, and potential delays before they impact key deadlines.
  • Coordinate and, where appropriate, lead project status meetings, including agendas, decisions, action items, and follow-up.
  • Maintain current project trackers, documentation, and files, ensuring completed work is properly closed out and easy to find.
  • Work inside the operations processes already established and running well, and build repeatable processes, templates and workflows where they do not yet exist, primarily across new product development, marketing and parts of wholesale.

New Product Development and Launch Management Support a growing product development pipeline from concept through commercialization, including:

  • Maintain the master NPD roadmap and detailed workback schedules, providing clear visibility into the status of each product in development.
  • Coordinate across internal teams, manufacturers, packaging vendors, testing partners, and other external partners to keep development moving.
  • Track key milestones including samples, revisions, testing, artwork, packaging, approvals, production readiness, and launch timing.
  • Proactively surface risks, missing inputs, and potential delays and help drive the follow-up needed to resolve them.
  • Coordinate NPD meetings and ensure decisions, approvals, specifications, and final documentation are captured and organized.
  • Coordinate cross-functional launch readiness so Product, Marketing, Creative, Wholesale, E-commerce, and Supply Chain understand what is needed and by when.

Wholesale Operations Support the operational side of a growing wholesale business, including:

  • Coordinate onboarding for new wholesale accounts, including required forms, resale certificates, shipping information, vendor setup, and supporting documentation.
  • Maintain accurate account information, pricing, case-pack details, documentation, and active opportunity tracking.
  • Coordinate samples, meetings, and follow-ups with buyers, brokers, distributors, hospitality partners, and other wholesale accounts.
  • Support wholesale outreach and follow-up as needed, ensuring opportunities have clear owners and next steps.
  • Track orders and account-related requests through completion, coordinating internally when action is required.
  • Create repeatable processes and checklists as the wholesale business grows.

Supply Chain and Logistics Operations Support day-to-day coordination across manufacturers, freight partners, and 3PL, including:

  • Coordinate review and resolution of 3PL billing discrepancies, claims, credits, and other operational issues, maintaining clear tracking through resolution.
  • Support invoice review and ensure questions or discrepancies are resolved before payment when applicable.
  • Coordinate follow-up on inventory, shipments, damaged or quarantined product, and other operational exceptions.
  • Maintain accurate purchasing, inventory, PO, invoice, freight, claims, and related supply chain documentation.
  • Follow up with vendors and operational partners on open items and help ensure recurring issues are documented and addressed.

Executive and Administrative Support This is not the main focus of the role. These tasks sit in service of the areas above, and they are part of how the core work gets completed:

  • Calendar and scheduling support for the CEO and other senior leaders, including coordinating meetings tied to live projects, product development and wholesale activity.
  • Document filing and organization, keeping records, approvals and reference material saved where the team can find them.
  • Onboarding administration and other recurring administrative tasks that keep the above functions moving.

WHAT SUCCESS LOOKS LIKE

You're successful in this role when:

  • Priority projects have clear owners, next steps, deadlines, and visibility, with risks identified before they become missed deadlines.
  • The NPD pipeline is organized and moving forward, with clear visibility into what is on track, what is at risk, and what requires a decision.
  • Wholesale and operational partners receive what they need quickly and professionally, and open items are consistently followed through to resolution.
  • Documentation, trackers, and files remain current and organized so information can be found quickly.
  • Leadership spends less time chasing updates, finding information, and reminding people what needs to happen next.

WHO YOU ARE

  • Exceptionally organized, proactive, and comfortable managing many moving pieces at once.
  • A strong project manager who naturally creates structure, clarity, and accountability.
  • Comfortable respectfully pushing for decisions, answers, and follow-up when work begins to stall.
  • A strong written communicator who can work professionally with customers, vendors, manufacturers, and other external partners.
  • Able to independently assess priorities, recognize when something needs escalation, and keep lower-priority work from distracting from critical deadlines.
  • Someone who gets satisfaction from taking something messy, getting it under control, and leaving it cleaner than you found it.

You don't need every answer before taking the next step. If a project is waiting on three people, you figure out what each person needs to do and keep it moving. If an invoice doesn't look right, you investigate it. If a launch milestone starts slipping, you identify the blocker and help get it back on track. And when the work is finished, you make sure the documentation is saved, the tracker is updated, and the loose ends are closed.

EXPERIENCE

  • 3+ years of experience in project management, operations, supply chain, wholesale, account operations, or a related field.
  • Experience managing projects involving multiple internal and external stakeholders.
  • Strong proficiency with Google Workspace, particularly Sheets, Docs, Drive, Gmail, and Calendar.
  • Experience supporting product development or launches in consumer products, beauty, skincare, retail, or e-commerce is strongly preferred.
  • Experience working with 3PLs, retailers, purchase orders, invoices, inventory, or supply chain documentation is a plus.
