Role Purpose
To support the founder in running and growing the business by delivering consistent, high-quality support across administration, marketing, and operations. This role adds strategic depth through
automation, AI integration, and content support turning manual processes into streamlined systems that create capacity for growth, whilst helping drive marketing and sales.
Key Responsibilities
Administration
- Manage email, calendar, and scheduling
- Maintain records, files, and finance-related admin tasks
- Prepare documents, reports, and presentations
- Support event coordination and speaking engagement logistics
- Manage subscriptions, renewals, and supplier relationships
Digital Systems & Automation
- Build and maintain automations in Go High Level (GHL), Zapier and related platforms
- Identify opportunities to improve efficiency using AI tools
- Support CRM workflows, lead tracking, and client onboarding automations
- Keep the Loom digital ecosystem integrated, efficient, and documented
Marketing Execution
- Develop and schedule content across LinkedIn plus Facebook / Instagram / YouTube
- Repurpose content into social posts, graphics, and video snippets
- Design and edit materials using Canva and other tools
- Support with copywriting, reporting, and campaign tracking
- Support website updates (WordPress) and effective implementation of lead funnels (including ScoreApp)
Podcast & Video
- Edit podcasts (audio clean-up, intro/outro, show notes, publishing)
- Edit video content (short-form clips, repurposing for social media)
- Use tools such as Descript, OpusClip, or equivalent platforms
- Ensure brand consistency across all media formats
Proactivity & Initiative
- Anticipate needs and propose improvements
- Suggest new tools, workflows, or marketing tactics to improve reach and efficiency
- Contribute ideas to enhance Loom's digital presence and client experience
Business Process
- Draft and refine reports and proposals from templates or brief notes
- Conduct desk research for potential client targets and speaking opportunities
- Track key business metrics and prepare monthly summaries for review
- Support business planning and quarterly goal reviews
Key Requirements
- Proven experience as a VA, operations coordinator, or business/marketing assistant
- Confident user of Go High Level (essential) and automation platforms
- Strong grasp of AI tools for workflow, content, and writing support
- Strong knowledge of digital marketing channels, especially LinkedIn
- Skilled in Canva, content scheduling, and copywriting
- Video and podcast editing experience
- Excellent written English and attention to detail
- Highly organised, detail-oriented, and proactive in identifying solutions
- High initiative: identifies and fixes problems before they escalate
