Role Purpose
Accountable for daily operation activities, customer related inquiries and concerns and maintaining smooth operations from start to finish within the company policies and compliance
Key Activities
- Process all documentation requirements required by customers for transport of their goods
- Ensures documentation accuracy and timeliness in an efficient manner according to internal process and guidelines
- Performs booking and booking optimization according to internal guidelines as needed for BULK shipments
- Performs delivery arrangements for DAP shipments
- Handles customer query or concerns and being able to address them in good manner even in the most pressured/difficult situation
- Prepares and create billing to customers
- Ensure payment collection prior to release of shipments
- Handles and address operational accounting concerns but not only limited to unbilled or revenue leakage
- Interacts with customers, other product including internal business units, global offices and GSC involves in the overall BULK process
Customer EXTERNAL Business Role
- Communicate and coordinate with customers customs broker or any of its representative regarding the status of their shipments.
- Provide necessary documentary requirements to customer for expediting the transport of their goods
Internal Functional Role
- Performs booking and update customers pro-actively
- Lead the ordering process of flexibag from factory thru FMT SG including the shipping and delivery to BULK assigned warehouse
- Prepares and Check if documents are in good order as to according to what is required by our customer and global offices in accordance to internal rules and compliances
- Pro-actively responding to customers query and concerns regarding to their shipments making sure that everything is documented if needed
- Monitors shipment status using internal and external tools, able to anticipate any issues that may arise and to provide resolutions
- Maintain good relationship with external service providers
- Analyzing the cost and identifying possible mistakes prior to creation of billing to our customers
- Coordinate with customer any incidental charges incur and make sure that is it in accordance to our internal guidelines and/or customer SOP.
- Utilize CW1 and any other internal tools to ensure shipment is properly managed as required ( X3 for Flexibag monitoring and invoicing)
- Be ready for any other given task as required on any given operational circumstances
Skills / Qualifications
- Extensive knowledge in Import and Export Ocean freight procedure
- Good in administration and communication skills
- Result driven and keen attention to details
- Must have 3-5 years logistics experience within Ocean freight
- Cargowise (CW1) an advantage
- Key advantage: Flexitank/ ISOtank background
