Role Overview:
The bookkeeper will oversee and coordinate the financial performance of projects, ensuring that budgets, costs, invoices, and financial forecasts are accurately tracked and maintained.
Monitoring project budgets, process and review invoices, track financial progress, and ensure weekly forecasts are accurate and complete prior to project review meetings. The role will also involve working closely with Project Managers, providing timely and reliable financial information to support informed decision-making and help ensure projects are delivered on budget and in line with company objectives.
Responsibilities:
- Ensuring all supplier & subcontractor invoices have been entered into the system by the end of the month and actioned by the 1st day of the month.
- Ensuring all client invoices & progress claims are sent out on the day required by the Head Contract.
- Be involved in all project handovers and ensure a smooth transition of the budget from pre-construction to delivery.
- Working with the PMs to enter the locked away budget into Premier Construction Software.
- Ensuring every project has a progress claim schedule at lockaway, and entering key dates into the relevant PM's calendar.
- Entering Progress Claim Reports into Premier & crosschecking.
- Working with the PMs to complete the project forecasting every Thursday.
- Ensuring that this is done correctly, so as to accurately reflect our position every week.
- Raising any concerns with project financial health early with the Finance
- Manager, Directors & PMs to mitigate risks.
- Ensuring project cash-flow is positive
- Sending Aged Receivable reminders to PMs & Head of Construction.
- Margin Banking any budget at the end of the month & at project completion to ensure we are recognizing the correct amount of revenue.
- Following up subbies/suppliers at job close-out to ensure all invoicing is in.
- Keeping track of client & subbie retentions.
- Entering new subcontractors & suppliers into the system & ensuring their ban details are correct.
- Ensuring all subcontractors insurances are up to date.
Requirements:
- Monitor project budgets, costs, and cash flow.
- Prepare weekly financial forecasts using Premier Construction Software.
- Process supplier, subcontractor, and client invoices.
- Support Project Managers with project financial reporting.
- Knowledgeable with Australian Tax law
- Amenable to work onsite (Angeles City)
